How an order moves through production

An example of an order's path from saving to handing over: who changes the status and when.

Last updated:

A typical order workflow

A customer calls and the salesperson records the order - it becomes a “Draft”. Once the details are agreed, the salesperson clicks “Confirm”: the order goes onto the Kanban board in the “Confirmed” column and the team with the mobile app gets a notification. On production day the baker moves the card to “In production” and, after baking, to “Ready”. When the customer collects it, the salesperson clicks “Hand over to customer” or moves the card to “Handed over”.

  1. The salesperson saves the order with the “Save order” button - status “Draft”
  2. The salesperson clicks “Confirm” in the details - status “Confirmed”, the card is in the “Confirmed” column
  3. The baker moves the card to “In production” or clicks “Start production”
  4. After baking, the baker moves the card to “Ready” or clicks “Mark as ready”
  5. At pickup the salesperson clicks “Hand over to customer” - status “Handed over”, and the order disappears from the default list

Roles in the workflow

Orders are created and edited by the administrator and the salesperson. The status is changed by the administrator, salesperson and baker - in the order details, on the list or on the Kanban board. The other roles (warehouse worker, purchaser, accountant) see orders but do not change their status. Cancelling is an ordinary status change to “Cancelled”, available to the same roles as other changes.

  • Administrator and salesperson - create, edit and change the status
  • Baker - changes the status (“In production”, “Ready”), does not create orders
  • Accountant - issues invoices for orders
  • Permission details: the “Roles and permissions” article

Editing during production

A customer calls: “I forgot, the cake should say Barbara”. An order with the “In production” or “Ready” status can still be edited with the “Edit” button - a yellow warning “The order has the status …” appears at the top of the form, and before saving a “Confirm the order change” window with a “Yes, save changes” button. Only “Handed over” and “Cancelled” are locked.

  • “Edit” works for the “Draft”, “Confirmed”, “In production” and “Ready” statuses
  • A yellow warning in the form and a confirmation window before saving
  • “Handed over” and “Cancelled” cannot be edited

Tip: After editing an order during production, tell the baker yourself - the system sends a notification about confirmation, not about changes.
