Feature · Time tracking

Staff time tracking without paper sheets or adding up hours in a spreadsheet.

Staff clock in and out with a PIN on a tablet in the kitchen or from their own phone. The app builds the attendance list on its own, flags late arrivals, keeps track of leave and adds up the hours for payroll, with night hours and overtime.

Available from the Mistrzowski (Master) plan - from 319 PLN/month + VAT.

Clock in with a PIN on a tablet or from a phone

You set up a shared tablet or phone on the premises as a kiosk: an employee types their 4-digit PIN, the clock-in happens on its own after the fourth digit, and the screen resets for the next person. An employee who clocks in only with a PIN does not need a BakePilot account and does not take up a place in the user limit. Anyone with an account clocks in from their phone on the “My hours” page and sees their schedule, leave balance and recent clock-ins there. A clock-in outside the tolerance or without a shift in the schedule waits for your approval, so extra time does not go into payroll on its own.

  • A kiosk on a shared tablet, a 4-digit PIN, no account needed for the employee
  • Clocking in from your own phone on the “My hours” page
  • Clock-in tolerance in minutes and approval of extra time
  • Kiosk lock after 5 incorrect PIN attempts
  • A separate kiosk for each location (kitchen, shop)

Shift schedule, attendance and leave

You plan the schedule for the whole week: employees in rows, days in columns, each shift with a location and position. A night shift across midnight (e.g. 22:00-06:00) counts toward the day it started, and you copy a regular schedule to the next week with one button. The “Attendance” tab compares the schedule with clock-ins and assigns each day's status on its own. You correct a forgotten clock-out by hand and give a reason, and every correction is signed with your account. Leave has a balance with the allowance, carried-over days, used days and leave on demand under Polish labor law, and working days are deducted automatically, skipping Sundays and public holidays.

  • Weekly schedule with copying to the next week
  • Night shifts across midnight
  • Attendance list with the day's status and a location filter
  • Manual corrections with a reason and signature
  • Leave balance and absence types
  • An optional morning email with the previous day's exceptions

Hours for payroll and export

The “Payroll” tab sums up the chosen period: hours, attendance, night hours, 50% and 100% overtime, paid leave, bonuses and the gross amount to pay, with a “Total” row. You set the night hours and night allowance in the module settings, so a bakery with a night shift sees night hours separately. You export the summary to CSV or Excel or print it to PDF for your accountant, together with a list of the assumptions used. An employee who splits the day between the kitchen and the shop has their hours broken down by location. This is a supporting gross summary: ZUS (Polish social security) contributions, the PIT (Polish income tax) advance and the net amount are calculated by your accountant.

  • Hours, attendance, night hours, 50% and 100% overtime
  • Bonuses added for a specific month
  • Hours broken down by sales point
  • CSV and Excel export, print to PDF
  • The module can be locked with the administrator password

Frequently asked questions

Does every employee need a BakePilot account?

No. An employee can clock in only with a PIN on a shared device on the premises, and then they do not need an account and do not take up a place in the user limit. An account is useful when they should clock in from their own phone and see their schedule.

Does this replace HR and payroll software?

No. The module keeps time records and calculates the gross amount to pay as a supporting summary for your accountant. It does not calculate ZUS (Polish social security), the PIT (Polish income tax) advance or the net amount.

How are night hours calculated?

You set the night hours with the “Night hours from” and “Night hours until” fields in the module settings. The payroll summary shows night hours in a separate column, and for employment contracts it counts overtime at night and on Sundays and public holidays with a 100% supplement.

Which plan includes Time tracking?

The Mistrzowski (Master) plan. There is no limit on the number of employees in the records.
