An app that runs your pastry shop with you
BakePilot is a bakery app that brings all your daily work into one place - from taking an order, through the recipe and its costing, to issuing the invoice. It was born in a real pastry shop, PyziPyzi (Kalisz, Poland, since 2018), so it solves a craftsman's real problems rather than ones invented at a desk. It isn't yet another "restaurant" program a pastry shop has to bend to - it is an app designed from the start for baked goods, orders for a specific pickup time, recipes and seasonal peaks.
Most importantly, it works where you are - at the workbench, in the car on a delivery, behind the shop counter and at home in the evening when you sort out the weekend orders. That is why we treat BakePilot as a complete pastry shop management app, not a single tool. If you run your pastry shop on a notebook and a spreadsheet today, see how the app differs from Excel.
Comparing a few options? We have collected the questions worth asking before you choose pastry shop software, and how all the modules fit together is described on the bakery management software page.
Why pastry shops move from a notebook to an app
Most small pastry shops start with an order notebook, notes on the fridge and an Excel price sheet. For the first few months it works. The trouble starts when there are dozens of orders a week, three customers call at once and your hands are in the dough. That is when mistakes happen: someone writes a cake down for Saturday instead of Sunday, someone forgets the inscription on the top, and another note simply disappears. Each such mistake means an upset customer and a real loss.
The second pain point is costs. The prices of flour, butter, chocolate and eggs can change from month to month, and costing in your head or in an old spreadsheet can't keep up. As a result, some products sell at round-number prices while actually earning pennies of margin. A bakery app solves both problems at once - orders stop going missing because everything has one place with a date and a status, and the cost of every product is calculated automatically from current ingredient prices and your recipe.
The third reason is the simplest: a pastry chef hardly ever sits at a computer. The work happens at the oven, in the back room and on the road. So an app that actually gets used has to work on a phone - comfortably, without installing heavy software and without asking someone for help with every change.

What you'll find in the app
- Orders - from your phone and from your online shop via the API, with pickup dates and statuses.
- Cost calculator - the real product price: ingredients, energy, packaging, fixed costs, margin.
- Inventory and ingredients - current stock, purchase planner, no more "we've run out of flour".
- KSeF invoices - FA(3) invoices for KSeF, Poland's National e-Invoicing System, sent without extra tools.
- HACCP - temperature readings, forms and GHP/GMP procedures ready to print for the sanitary inspection.
- Reports - takings day by day, and top products in analytics - you know what really makes money.
An app that works wherever you are
BakePilot is a mobile-first app, meaning it is designed for the phone first and only then for a bigger screen. In practice, everything you do on a computer you can do just as comfortably on a phone: take an order during a call, check your flour stock before shopping, glance at the takings after closing the shop. You open the web app in the browser of any phone (iPhone and Android), with nothing to install from a store - just log in. There is also a native Android app on Google Play if you prefer an icon on your home screen.
The data lives in the cloud, so you in the back room and your employee behind the counter see the same, current orders. There is no "version on my phone" and "version on the computer" - there is one source of truth, available from any device once you log in.

Who the bakery app is for
BakePilot was designed for craft pastry shops - from a one-person studio making cakes to order, through a family pastry shop with a display case and a few employees, to a business that sells retail and handles corporate orders. It works where recipes, pickup dates and cost control matter, not where an ordinary fiscal till is enough. If you also bake bread and rolls, have a look at the version for bakeries.
The app grows with your business: you start with orders and products, and later switch on recipes, inventory, reports and analytics when you actually need them. You don't pay up front for modules you don't use yet.
Orders, costs and invoices without jumping between tools
The app shows its real value when the modules talk to each other. A cake order knows which recipe it comes from, and the recipe knows the cost of its ingredients - so the app suggests a price and margin straight away instead of making you calculate on the side. When the order is ready to be billed, you issue a KSeF invoice from it in the FA(3) format required in Poland in 2026 - without retyping data and without separate invoicing software. Everything stays in one app, and you save hours every week.
Your data is safe: each pastry shop sees only its own information (separation between companies), the connection is encrypted and backups run automatically. The app complies with the GDPR, and you can access your data from any device once you log in. The full list of features is on the features page, and the first steps are described in the documentation.
What the app costs and how to start
Prices start at 98 PLN net per month (plus 23% VAT) for the Podstawowy (Starter) plan, which covers orders, products, customers, calendar, Kanban and notes for 2 users. Profesjonalny (Professional, 189 PLN) adds recipes with the cost calculator, inventory and analytics, and Mistrzowski (Master, 319 PLN) adds KSeF invoices, HACCP and time tracking. You start with 20 days free, no credit card - that is plenty of time to add your products, recipes and first orders and see whether the app suits your pastry shop. If it doesn't, you pay nothing.

Does the bakery app work on a phone?
Yes - BakePilot is a mobile-first app. It works in the browser on any phone (iOS Safari, Android Chrome) and as a native Android app on Google Play. You don't need to install anything to get started - just log in through the browser. Most of our users run their pastry shop mainly from their phone.
How is a bakery app different from plain Excel?
Excel doesn't work out your margin, doesn't remind you about orders, doesn't issue KSeF invoices and isn't comfortable on a phone. A bakery app connects orders, recipes, costs, inventory and invoices in one place, available to the whole team. See the comparison on the Excel alternative page.
How much does the pastry shop management app cost?
The Podstawowy (Starter) plan is 98 PLN net per month and covers orders, products, customers, calendar, Kanban and notes for 2 users. Profesjonalny (Professional, 189 PLN, 5 users) adds recipes with the cost calculator, inventory, reports and analytics, and Mistrzowski (Master, 319 PLN, unlimited users) adds KSeF invoices, HACCP and time tracking. Prices are net, plus 23% VAT. The full price list is on the home page.
Does the app handle invoices and KSeF?
Yes, on the Mistrzowski plan. You issue invoices in the FA(3) format and send them to KSeF, Poland's National e-Invoicing System, with one button - no separate invoicing software. Invoices in PLN go to KSeF, and invoices in 10 other currencies (including EUR and USD) can be issued outside KSeF.
Is my data safe in the app?
Data is kept in the cloud with separation between companies (each pastry shop sees only its own data), encryption and backups. The app complies with the GDPR. You can access your data from any device once you log in.
How quickly can I roll out the app in my pastry shop?
The trial lasts 20 days, which is enough for a full rollout. On day one you create an account and add a few products, in the first week you enter recipes and customers, and in the second you issue your first invoices and read the reports. Our support team, based in Poland, helps at every stage.
