One bakery management system instead of a pile of tools

Most pastry shops juggle an order notebook, a cost spreadsheet in Excel, a calculator and separate invoicing software. Bakery management software brings it all together - you enter data once, and the system recalculates costs, suggests a margin and prepares the invoice. That is what sets a complete system for running a bakery apart from a loose collection of files.

Prefer to look at it from the mobile side? See how the bakery app works. And if you also bake bread, bakery software for bread production covers making and selling bread. Still comparing options? Read how to choose pastry shop software.

The problem: data scattered across five places

In most pastry shops, information about the same sale lives in several places at once. The order is in the notebook, the price in a spreadsheet, the recipe in the pastry chef's head, the flour stock "roughly in memory" and the invoice in a separate program. While the business is small, it somehow holds together. The trouble starts as you grow: the same number has to be retyped three times, every retype brings a mistake, and nobody has the full picture of how much a given product really earns.

Bakery management software turns this around: you enter data once, in one place, and the system makes it available wherever it is needed. The recipe knows what the ingredients cost. The product knows which recipe it comes from and what margin it has. The report knows how much you sold. So instead of keeping an eye on five tools, you keep an eye on one - and you can be sure the numbers add up.

That is the difference between a bakery management system and a loose set of files. A file won't remind you of a deadline, work out a margin or send an invoice to KSeF (Poland's National e-Invoicing System). The system does all of that, because its modules are connected and work on shared, always up-to-date data.

The recipe knows the cost of its ingredients, the order knows the recipe - you enter data once.

The system's modules

  • Orders - pickup dates, statuses, deposits and attachments, orders from your online shop via the API.
  • Products and recipes - weights, variants, allergens generated automatically.
  • Cost calculator - the real price and margin, including energy, packaging and fixed costs.
  • Inventory - current ingredient stock, purchase planner and stocktaking.
  • KSeF invoices and analytics - billing and decisions based on numbers.

That's not all - the system also has a production and pickup calendar, a customer database (CRM) with order history, quotes and estimates, digital HACCP with temperature readings, and daily reports. A full overview with descriptions and screenshots is on the features page.

A system that grows with your pastry shop

You don't have to use everything from day one. BakePilot is split into plans, so you start with what you really need and add modules as the business grows. The Podstawowy (Starter) plan, from 98 PLN/month + VAT, covers orders, products, customers, calendar, Kanban and notes for 2 users. Profesjonalny (Professional, 5 users) adds recipes with the cost calculator, inventory, analytics and the cake configurator, and Mistrzowski (Master) adds KSeF invoices, HACCP, time tracking, priority support and no limit on users, which matters when you take on extra staff for the season. You pay for what you use, not for features "just in case".

The system runs in the cloud, so you install nothing on your computer and don't worry about updates - you get them automatically. You log in through the browser on your phone, tablet and computer, and the data is the same on every device. There is also a native Android app. If working from your phone matters most, read about the mobile bakery app.

Built by pastry chefs, not by a corporation

BakePilot was created at the PyziPyzi pastry shop (Kalisz, Poland, since 2018) together with experienced developers from KamikStudio. That is the key difference: the system was designed by people who answer customer calls every day, cost out cakes and go through sanitary inspections themselves. That is why the naming, the workflow and the priorities fit the reality of a craft pastry shop rather than generic "business software".

We take data security seriously: every company sees only its own data (each pastry shop's data is separated in the database), the connection is encrypted and backups run automatically. The system complies with the GDPR, and you keep full control over your information.

What changes in your daily work

It shows best on an ordinary day. In the morning you open the system and see straight away how many orders there are for today and tomorrow, what to bake first and which cakes are waiting to be decorated. When a customer calls, you save the order in a few seconds - with the date, pickup time, description and the price from the product catalog. Nothing ends up on a loose slip of paper, so nothing gets lost. In the evening you close the day with a daily report - you enter the takings from the till and the card terminal, and the monthly summary calculates itself.

Over a month these small time savings add up to hours you can spend baking or with your family. And decisions - what to add to the range, what isn't worth making, where to raise a price - are based on numbers from reports and analytics, not on gut feeling. That is what well-chosen bakery management software gives you.

How to roll out the system in your pastry shop

You start with 20 days free, no credit card. On day one you create an account and add a few of your most common products. In the first week you enter recipes and customers, in the second you issue your first KSeF invoices and check the reports. Step-by-step guides are in the documentation, and our support team (based in Poland) helps at every stage. If the system isn't for you, you simply don't renew, with no fees at all.

What is bakery management software?

It is one tool that replaces the notebook, Excel, the calculator and separate invoicing software. Bakery management software connects orders, recipes, costing, inventory, HACCP, invoices and reports - all linked together and available to the whole team. You enter data once and use it many times.

Will bakery management software work for a small business?

Yes. The Podstawowy (Starter) plan, 98 PLN net per month, covers orders, products, customers, calendar, Kanban and notes for 2 users. Profesjonalny (Professional, 189 PLN, 5 users) adds recipes with the cost calculator, inventory, reports and analytics, and Mistrzowski (Master, 319 PLN, unlimited users) adds KSeF invoices, HACCP and time tracking. Prices are net, plus 23% VAT. The system grows with your pastry shop.

How many modules does the system have and what do they cover?

The main modules are: orders, products and recipes, the cost and margin calculator, inventory and ingredients, customers (CRM), calendar, HACCP, invoices, quotes, and reports and analytics. The full list with descriptions is on the features page.

Does the system issue invoices and send them to KSeF?

Yes, on the Mistrzowski plan. The system issues invoices in the FA(3) format of KSeF, Poland's National e-Invoicing System, and sends them with one button - no separate invoicing software. Invoices in PLN go to KSeF, and invoices in 10 other currencies (including EUR and USD) can be issued outside KSeF.

Do I need to install the system on my computer?

No. It is a cloud system - you log in through the browser on your phone, tablet and computer, and the data is always up to date on every device. There is also a native Android app. Updates arrive automatically.
