What's new in BakePilot

The history of changes, new features and fixes in BakePilot. We keep developing the platform based on what bakeries and pastry shops need.

How fast BakePilot is growing

101 releases since launch

October 2026

v3.8.1Improvement

Eggs in pieces in the purchase planner and inventory, Confectioner Barometer 2026

The purchase planner and inventory count ingredients tracked in pieces using the weight of one piece. We launched the Confectioner Barometer 2026 - a survey of pastry shop owners and staff in Poland with aggregated results shown right after filling it in.

  • Purchase planner: ingredients counted in pieces (such as eggs) are converted from recipe grams to pieces using the weight of one piece
  • The demo account looks like a real bakery: orders for today, recipes with ingredients and products with a calculated cost
  • English version of the app: cost categories in Finance, the feature list when choosing a plan and contract types in Time tracking
  • Inventory: after a production entry, ingredients tracked in pieces (such as eggs) are deducted using the weight of one piece
  • English and Ukrainian versions of the app: month and day names in the user's language, and order item descriptions (sheet, cake, portions) in the business language
  • Blog: articles signed by their authors, an editorial policy page and an article on the confectionery market with current data and sources
  • Confectioner Barometer 2026: a survey for Polish pastry shops at bakepilot.pl/badania with aggregated results after you fill it in
  • Notifications: the bell shows new notifications on its own, without reloading the page

v3.8.0New feature

The BakePilot website in English at bakepilot.com

The whole BakePilot website is now also available in English at bakepilot.com: what the app does, features, pricing, documentation, the blog and the changelog. The documentation shows screenshots of the English version of the app, and signing up or opening the demo from bakepilot.com starts the app in English.

  • bakepilot.com: home page, feature pages, pricing, contact and legal documents in English
  • Documentation in English with screenshots of the English version of the app
  • Blog and changelog in English
  • Language choice with a flag in the website header and a link in the footer, between bakepilot.pl and bakepilot.com
  • Signing up and the demo from bakepilot.com open the app in English
  • Orders: a “Paid” mark and a “Not paid” button on the list - you see who still has to pay, also after the event
  • Delivery sheet: the delivery cost on its own line, and a paid order has no amount to collect
  • The documentation search finds several words at once, inflected forms and words typed without Polish characters
  • English version of the app: the last screens are now translated - demo entry, administrator password, moving between list pages and export

v3.7.9New feature

Products from orders in inventory, weighing before handover and search in the ordering portal

Inventory can now deduct products when an order is handed over, with reservations, balances and shortages to make shown on the production board, also for variants. Products sold by weight can be weighed before handover, and the invoice and delivery note (WZ) are issued with the actual weight. Customers find products faster in the ordering portal, and notifications are split into system messages and ones about your business.

  • Ordering portal: search by product and variant name, plus categories, including your own
  • Order list: several statuses at once, e.g. “Confirmed” and “In production”; printing and export work the same way
  • Production board: columns are named after the order statuses - “Confirmed”, “In production”, “Ready”, “Handed over”
  • Purchase planner: “Manual” mode - you enter how much of each product you will make, without loading orders
  • Purchase planner: product search and a clear message when products have no recipes
  • Printable shopping list with checkboxes and the planned production
  • Inventory: “Issuing from orders” - on “Handed over”, products are deducted from the selected warehouse, and each item shows its reservation and balance
  • Inventory: separate items for variants (e.g. small tub, large tub) and “Import from products” in one click
  • Production board: a shortage shown in red before the product name, e.g. “-1”, and a “Done” field next to each item
  • Ordering portal: when a customer orders more than is in stock, the order goes through with a message that does not reveal the stock level, and you get a notification
  • Weighing before handover for products sold by weight: ordered by the piece, amount based on the weight, invoice and delivery note (WZ) in kilograms
  • Notifications: “System” and “Your business” tabs with unread counts, and updates come with a “See what's new” window - change by change, with screenshots
  • Updates from BakePilot also arrive as a push notification on phones with the Android app

v3.7.8Improvement

Refreshed photos on the login and sign-up screens

The photos next to the login and sign-up forms now blend smoothly into the page background instead of looking like a pasted-in card. Sign-up has a new photo with macarons and coffee.

  • The photo gently fades into the background on the form side
  • New photo on the sign-up screen

v3.7.7New feature

Recipes in four steps with live cost and price

Adding and editing a recipe now takes four clear steps: ingredients, what the bake yields, costs and pricing. The whole time you see a summary calculated as you go - food cost, total cost, price per piece or per kilogram, and margin.

  • Pricing method shown as three large tiles: margin, price per piece or price per kg
  • On a phone the summary sits in a bar at the bottom of the screen, on a computer next to the form
  • Entering grams in a kilogram field suggests the correct value in one click
  • A warning when an ingredient has no price - cost and margin are not reliable in that case
  • Prices for a whole, 3/4, half and quarter tray, and per portion, right in the pricing step

v3.7.6New feature

In-app notifications: a bell and important messages after you log in

The app now has a bell with notifications from the last 31 days: news from us and important matters for your account - a new order from the portal, a problem with KSeF (Poland's National e-Invoicing System) or a plan that is about to end. The most important messages are shown once, right after you open the app.

  • On a phone the bell is in the top bar, on a computer next to the logo in the menu
  • The number on the bell is your unread notifications; “Mark all as read” clears the counter
  • Notifications about new orders from the portal, KSeF errors and the end of your plan or trial period
  • You close an important message with “OK, I've read it” or the X - it stays in the history under the bell
  • The full history of changes in BakePilot is in the changelog - link at the bottom of the panel

v3.7.5New feature

New look for login and sign-up, a few questions about your business when you create an account

Login, sign-up and password recovery have a new, clearer look with a photo from our own bakery. When you create an account, we ask a few short questions about your business so the app fits you right away: whether you sell by the piece or by weight, who you sell to, your VAT status and how many people work with you.

  • The questions are optional - “Skip questions” or “Next” without answering
  • “By the piece” means a new product gets a price per piece right away, not per kilogram
  • The VAT status from sign-up sets costs as net or gross and the default invoice settings
  • You can change your answers in Settings, under “Organization” → “Business profile”
  • On a phone the form comes first, the photo is shown on larger screens

v3.7.4New feature

“Getting started with BakePilot” card on the Dashboard for new accounts

For the first 30 days, the owner of a new account sees a list of first steps on the Dashboard: business details, connecting to KSeF (Poland's National e-Invoicing System), ingredients with prices, the first recipe and a product with a recipe. Steps tick themselves off, and each one takes you where it needs to be done.

  • Each step briefly says what it gives you, e.g. ingredient prices straight from invoices once you connect to KSeF
  • A “Done: X of Y” counter and a “Hide list” button; the card disappears when everything is done
  • An account without a registered business completes the business details step with just an address
  • KSeF is an optional step; on a lower plan it is marked as unavailable

v3.7.3Improvement

Better documentation for ingredients, recipes and products, small dark theme fixes

The articles about ingredients, recipes and products explain step by step how to get started: where ingredients come from, how to enter a price and a package, what to enter as the batch weight and when to mark a product as sold by weight. In the dark theme, the browser bar on a phone is dark too.

  • Documentation: three ways to build your ingredient list - by hand, from a file or from invoices (including from KSeF, Poland's National e-Invoicing System)
  • Documentation: price and weight refer to the same package - an example with eggs, butter and a sack of flour
  • Documentation: when recipes recalculate on their own and when to click “Recalculate all”
  • Documentation: “Sold by weight”, the PLU/SKU number and the B2B price in a product, with examples
  • Dark theme: the browser bar on a phone changes color together with the theme
  • Dark theme: inactive link buttons are gray, just like other inactive buttons

v3.7.2New feature

Gross prices in ingredients and recipes, the same ingredient several times in a recipe

You enter an ingredient price and the selling price in a recipe as net or gross - we calculate the other amount from the VAT rate. You can add the same ingredient to a recipe several times, e.g. sugar for the dough and for the filling, just like in a handwritten recipe.

  • Ingredients: “Net price” and “Gross price” fields next to the VAT rate - you enter the one on your invoice and the other is calculated; without a VAT rate the gross field is inactive
  • Recipes: price per piece or per kg can be entered net or gross; the VAT rate is taken from the product the recipe is attached to
  • Recipes: you can add the same ingredient several times, each in its own stage - in the product composition, on the label, on the shopping list and in inventory deductions the quantities are added up
  • An “i” icon next to fields that raise questions: the PLU/SKU number, gross price, B2B price and “Sold by weight” in a product, the pricing method and batch weight in a recipe, the package weight and price in an ingredient - a tap shows a short explanation with an example, on a phone too

v3.7.1Fix

Numbers with three decimal places are saved correctly

A value entered with three decimal places using a decimal comma, e.g. a batch weight of 4,449 kg, was saved as 4449. Now both a comma and a dot in number fields always separate the decimal part.

  • Batch weight, package weights, quantities and prices: “4,449” and “4.449” mean roughly four and a half kilograms, not four thousand
  • If such a value was entered earlier, open the recipe or ingredient, correct the number and save - for the batch weight, also click “Recalculate”

v3.7.0New feature

Dark theme, HACCP entries straight from the month view and delivery on the invoice

You can switch the app to a dark theme, comfortable in the evening and in a darker kitchen. In HACCP you click a day in the month view and enter a reading or tick off a check right away. An invoice created from an order has a “Delivery” line, and we can turn on selected features from a higher plan for you on a trial basis.

  • Dark theme: in the account menu you choose “Light”, “Dark” or “Match system”; each device remembers its own choice
  • Dark theme: printouts, PDF invoices, labels and the kiosk stay light so they look good on paper
  • The dark theme also works in the ordering portal for wholesale customers
  • Product card: the number of pieces sold is shown without a long tail of decimal digits
  • On a computer and tablet, the help chat button no longer covers the buttons at the bottom of the page
  • HACCP: clicking a day next to a device opens that day's readings and a form for the next reading, including negative temperatures and decimal commas
  • HACCP: on check sheets one click ticks “Yes” or “No”, and you fill in the other fields in a small window; entries from several people on the same day do not overwrite each other
  • HACCP: under vehicle sheets (e.g. vehicle washing) you can see the days with deliveries - on screen and in the printout
  • HACCP: a reading entered after midnight goes to the correct day, and a reading cannot be saved with a future date
  • Invoice from an order: the delivery cost is a separate line; for products at several VAT rates we split it proportionally, down to the grosz (0.01 PLN)
  • Invoice from an order: a warning when an invoice has already been issued for that order
  • Plan: we can turn on selected features from a higher plan on a trial basis - “Manage plan” shows when the trial ends
  • Subscription invoices for businesses are sent to KSeF (Poland's National e-Invoicing System) as soon as they are issued

v3.6.3Improvement

Tidier buttons in every module, a weekly production plan and complete documentation

Every module now has the same top bar layout: one main button, the most common actions next to it, and the rest in the “More” menu. In Kanban you can lay out a production plan for the whole week, and the documentation describes every feature of the app in the same order as the menu.

  • All modules: one main create button, the most common actions next to it, the rest in the “More” menu - nothing wraps or falls out of place
  • Orders: “Standing” and “Portal orders” are tabs next to “Deliveries” and “Delivery notes (WZ)”, with a counter of new requests from the portal
  • Kanban: “Edit plan” - a weekly production plan with products from the catalog or your own description for each day
  • Orders and customers: an administrator can delete an order or a customer; orders with an invoice or delivery note (WZ) and customers with a sales history are protected - in that case we suggest cancelling instead
  • Dashboard: “Orders today”, “Revenue today” and the 7-day chart count only orders actually sold, without drafts and cancelled ones
  • Buttons a person cannot use (e.g. deleting a contract, importing, moving tasks in Kanban) are hidden for them; deleting a task in Kanban requires confirmation
  • Quotes: when you try to delete a quote that a contract was created from, a clear message tells you what to do
  • Documentation organized like the app menu, describing every feature, with new articles about the Dashboard, the Purchase planner and your profile, plus a complete guide to the ordering portal with screenshots

v3.6.2New feature

Ordering portal for wholesale customers and the catalog price in price lists

Your wholesale customers can place orders themselves at zamowienia.bakepilot.pl - they see only the products and prices from their price list, and you accept their requests with one click. Price lists now show the catalog price and the discount as a percentage.

  • Ordering portal (Mistrzowski (Master) plan): on a price list or customer card you click “Invite to portal”, a person at the customer's business gets a link, sets a password and submits requests for the coming days
  • The customer sees only the products and prices from their price list and their own business's orders; they can edit a request until you accept it
  • Orders > “Portal orders”: new requests with a counter in the menu and a notification, before accepting you can see whether prices have changed; “Accept” creates an order, “Reject” closes the request
  • An employee assigned to branches sees requests only from their own locations
  • Price lists: a “Catalogue” column with the catalog price and the difference as a percentage for each item, e.g. “-5%” after lowering the whole price list
  • Price lists: in the “Assign customer” window the list disappears once you pick a customer, and the “Assign” button is right at hand
  • Plan paid by bank transfer: a reminder 7 days and 1 day before the plan ends, and clear information on the plans page when the plan has ended
  • Notifications and messages arrive in the recipient's language, including English and Ukrainian; the order change history is translated
  • The full data export also includes data from the ordering portal

v3.6.1Improvement

Net and gross prices with one switch, your business's VAT status and faster help chat

On the recipe and product card you can switch the cost view between net and gross, and in Settings you indicate whether your business is an active VAT payer or exempt from VAT - this determines how we calculate costs and profit. The conversation with BakePilot support refreshes in real time, and a business with branches moves goods between warehouses with an MM transfer document.

  • Recipes and products: a “Show prices: Net | Gross” switch under the recipe photo and description and above the product costs - in the gross view, VAT is added to raw materials, while margin and profit are still calculated from net
  • Settings > Organization: “Company VAT status” (active VAT payer or VAT-exempt) - an exempt business sees raw material costs including VAT, because VAT on purchases is its cost; costs and prices are labeled as net or gross
  • Ingredients: a “Net price” field and column, so there is no doubt which amount from the invoice to enter
  • Orders: estimated profit calculated from the net value of the items, the same value that would go on the invoice
  • Orders: a “Save and confirm” button for a new order and a draft - you save and confirm in one click
  • Inventory: “Transfer” (MM) - moving goods between the main warehouse and branches with a printable document (Mistrzowski (Master) plan with sales points)
  • Branches: an employee assigned to branches sees only the orders of their own locations
  • Settings: “Order a full data export” - all your business data, including invoices with KSeF XML files, in one file, with the link sent by email
  • Settings > Employees: a seat counter for your plan - Podstawowy (Starter) up to 2 users, Profesjonalny (Professional) up to 5, Mistrzowski without limit
  • Invoices: you can correct an invoice rejected by KSeF (Poland's National e-Invoicing System) and send it again with the “Fix and send again” button
  • Help: messages in a support ticket appear instantly, you can see “Read” and when support was last active, and you can retry a failed message in one click
  • Recipes: the tray price is no longer understated by the default batch weight when it does not match the weight of the ingredients
  • The app in English and Ukrainian now also covers the owner modules: orders, recipes, products, inventory, invoices, settings and the rest
  • API: you can add an attachment to an order and change its status, and sending the same order again does not create a duplicate

v3.6.0New feature

Bakery branches, line discounts with a profit preview and a regulation-compliant label

A bakery with several locations can assign employees to branches, run each location's orders and its own warehouse, and a price list can limit a customer's range to what they are supposed to order. In an order you can add a discount to a single line and see the estimated profit. The product label prints in the layout required by EU Regulation 1169/2011.

  • Price lists: a “The customer sees only products from this price list” switch - a customer with such a price list orders only what is on it, and products outside the price list cannot be added to their order
  • Price lists: a “Customers with this price list” section with “Assign customer” and “Unassign” buttons on the price list page
  • Settings > Employees: assigning an employee to all or selected branches - daily reports and takings entries only from their own locations (Mistrzowski (Master) plan, with sales points turned on)
  • Orders: a “Branch” field in the order, a “This is our branch” flag on the customer and a “My branches / All branches” filter on the list, production board and calendar; standing orders and “Copy day” carry the branch over
  • Inventory: a “Main warehouse” / branches switch - each location has its own stock levels, adjustments, minimum threshold and stocktake; receipts from production and from invoices stay in the main warehouse
  • Orders: a line discount as a percentage or an amount (percent icon next to the line), with a before-and-after price preview, a badge in the row, on the card and printout, in standing orders and in the change history
  • Orders: “est. profit” under the line and “Estimated profit” with the margin in the summary, calculated from the recipe cost - visible to roles with the “View profit” permission; a missing cost shows “no cost data”, never zero
  • Products: a label with the “Ingredients:” heading, allergens highlighted in capital letters in the list, energy in kJ and kcal, a nutrition table per 100 g of the finished product and a “Best before” or “Use by” date calculated from the packing date; a new “Date type on the label” field and a “Nutrition table” switch when printing
  • Orders: estimated profit is also shown on the card of a saved order, including for tray portions; the “where this price comes from” badge appears only when the price is not obvious (discount, price list, promotion, manual price)
  • Orders: the quick column also counts a second, separate product in brackets - e.g. “Rogal Świętomarciński” and “PyziMarcinek” as “5 (8)”
  • Invoices: “Issue corrective invoice” from the list for the selected invoice (with the reason when a correction is not possible) and a “Sales invoice / Corrective invoice” choice in “New invoice”
  • Customer card and Settings: info icons with hints next to the “This is our branch”, “The customer sees only products from this price list” and the employee's “Branches” fields
  • Security: a password must have at least 8 characters, and a password known from data leaks is rejected with a clear message
  • bakepilot.pl website: a new “Data security” page (link in the footer, downloadable as a PDF), a full plan comparison on the pricing page, a complete site map and a dedicated photo for every blog article

v3.5.1Improvement

Product import from an export file and a clearer cake shape choice

You can complete an exported product list in Excel and upload it back - with variants and Polish characters intact. In the cake configurator each shape has its own drawing, so mistakes are less likely.

  • Products: “Import CSV” accepts a file from “Export → CSV” completed in Excel - columns are recognized by their headers, and variants go to their products
  • Products: Polish characters stay correct even in a file saved in Excel as “CSV (MS-DOS)” - this also applies to importing ingredients and customers
  • Products: uploading the same file again does not duplicate anything - products with a name that already exists in the account are skipped
  • Cake configurator: round, rectangular, square and heart shapes have their own drawings, and the selected shape is highlighted in color
  • Cake configurator: when a cake type has no shapes set, the customer chooses from four standard ones instead of seeing a message that no shapes are available

v3.5.0New feature

Cake editing, order change history and saving that survives connection drops

You can edit a cake ordered through the configurator without deleting the line, and every change to an order is recorded in its history: who changed what, when, and from what to what. Saving an order retries automatically when the connection drops for a moment, and the app copes better with slowdowns on the server side.

  • Orders: the “Edit cake” button next to a configurator cake opens it with the saved choices - you change the weight, shape or cream without configuring it from scratch; the number of cakes and your note on the line stay
  • Orders: a “Change history” section on the order card - every edit and status change with the date, the person and the change from what to what (e.g. cake weight 3 kg to 4 kg, pickup time, deposit)
  • Cake configurator: “Notes for the cake” (e.g. “no nuts”) go into the line description, the printout and Kanban - also in orders saved earlier
  • Cake configurator: the cake shape in the order, printout and Kanban is written with proper Polish characters (“okrągły” for round, “prostokątny” for rectangular)
  • Orders: the pickup time on the list, Kanban, calendar and printout is exactly as you entered it, and editing an order no longer shifts it by an hour or two
  • Orders: when the connection drops for a moment during saving, the app retries on its own and shows “retrying the save” - the order is saved once, even after a double click
  • The app runs more reliably during brief slowdowns at our server provider and has more database capacity in reserve
  • Logging out on one device no longer logs out your phone, the tablet in the kitchen or the BakePilot icon on your iPhone home screen
  • Invoices: the ZW (VAT-exempt) rate with the legal basis for the exemption - you enter it once in the invoice settings, and it goes on the invoice, the printout and to KSeF (Poland's National e-Invoicing System)
  • Changing your password in Settings requires your current password
  • Employees: a deactivated employee is immediately logged out on all their devices
  • Time tracking: several quick clock-ins in a row at a shift change no longer lock the kiosk
  • New status.bakepilot.pl page - you can see at any time whether the app, login and panel are working; link in the bakepilot.pl footer
  • bakepilot.pl website: the logo leads to the home page, a “back to top” arrow in the bottom right corner, and clicking the version number in the top bar no longer scrolls to the footer

v3.4.4Improvement

A faster app and more stable login

We sped up opening the app and moving between modules. The Dashboard loads several times faster after login, and the app does not log you out when you come back after a break or work on several devices at once.

  • The Dashboard and modules (orders, recipes, products, customers, calendar) usually open in under a second
  • Login is more stable: you can use one account at the bakery, at home and on your phone without any trouble
  • When the connection to the database slows down for a moment, the app retries the request instead of waiting a long time
  • BakePilot demo: when you start it, you enter your email and phone number so we can help if you have questions
  • On the bakepilot.pl website, new pages “Program dla cukierni” (software for pastry shops) and “System dla piekarni” (system for bakeries), plus current purchase prices for raspberries, strawberries and blueberries from the 2026 season

v3.4.3Improvement

Data security: role-based access, account protection and content reporting

We reviewed the entire app for data protection, the same way as for an information security certification. Role permissions now also work in the database itself, so an employee sees only what they have access to, no matter how they try to reach the data.

  • Invoices, invoice settings and costs in Finance are visible only to people with the invoices or finance permission - by default the owner and the Accountant; the Baker, Salesperson, Warehouse worker and Purchaser cannot see them
  • Time tracking: rates and timesheets of other employees are visible only to people with HR access; an employee sees their own timesheet and clock-ins, and cannot enter a backdated clock-in or a bonus
  • The KSeF (Poland's National e-Invoicing System) certificate and its password are read only by the server - they cannot be downloaded from the browser
  • Every save checks that the customer, product, recipe or document belongs to your bakery
  • A quote sent by email comes from the sender “BakePilot”, and the customer's reply goes to your bakery's email address; it is always sent to one recipient
  • Account protection: attempt limits on sign-up, administrator password login and password reset; password reset does not reveal whether an account exists
  • Excel file import checks the file size and type and does not execute formulas; CSV exports are protected against formulas
  • A blocked employee or bakery account also loses access to the calendar on the phone
  • BakePilot website: a “Report content” form (bakepilot.com/report-content) for reporting illegal content, a page with the point of contact and a new section of the terms of service on content moderation
  • The app loads faster - an unnecessary library has been removed from every panel page

September 2026

v3.4.2New feature

Finished products in inventory, discounts on product groups, promotions and a new customer list

Inventory is no longer just for ingredients - you also keep finished products and sub-recipes there, with their value calculated from the recipe cost. Price lists now have customer discounts on categories and individual products, percentage price changes from a chosen date and promotions with start and end dates. The customer list shows what you actually need: you choose the columns yourself.

  • Inventory: Ingredients, Finished products, Sub-recipes and Other tabs; when adding, you choose the “Item type”, and the unit is suggested from the recipe (including “tray”)
  • Inventory: the value of finished products and sub-recipes is calculated from the recipe cost; export and printout with a “Type” column and totals for each type; stocktake with a type filter
  • Production list: waste is valued at the cost of one piece, not the whole recipe
  • Production: on “Finish production” there is an “Into inventory” section - what came out goes into stock as a finished product or a sub-recipe, together with deducting the ingredients in a single operation
  • Production: a sub-recipe you have in stock is deducted from inventory instead of its ingredients - no double deduction
  • Production list: reducing “Produced” returns the ingredients to stock
  • Customers: a “Columns” button - choose what is shown on the list (including short name, price list, discount, payer, last order, total purchases), with sorting and a price list filter
  • Price lists: a customer discount on a category, your own category or a product - a product discount wins over a group discount, and discounts are not combined
  • Price lists: “Change by %” - a price increase or reduction for a whole price list, category or product from a chosen date, rounded to 0.01 PLN or 0.10 PLN, with a preview before saving
  • Price lists: promotions with start and end dates and a promotional price, applied by order date, including in standing orders
  • Recipes: deleting a recipe that has an inventory item now shows a clear message instead of silently returning to the list
  • Purchase invoices from KSeF (Poland's National e-Invoicing System): an invoice with a deducted advance payment or a discount on a separate line downloads normally - such a line does not change the ingredient price
  • Employees: custom roles - in Settings you name a role and choose its permissions, then assign it to an employee
  • Employees: a bakery has one Administrator - the account owner; previous additional administrators were given the “Manager” role with everything except managing employees, the plan and deleting the account
  • Security: “Deactivate” immediately cuts off an employee's access, business details can be changed only by a person with that permission, and the logo and product photos are protected from changes from another account
  • Deleting the account cancels the paid subscription and deletes all of the bakery's data
  • Inventory: a “Receive from invoice” button - a list of approved invoices whose goods are not yet in stock, received without leaving Inventory; invoices from before the last stocktake are marked
  • Stocktake calculates the inventory value: the ingredient price from the last invoice up to the stocktake date, the value of each item and the total - also in the printout, the CSV file and the stocktake history
  • A purchase from an invoice is recorded with the invoice date and number, not the day the prices were approved

v3.4.1New feature

Price lists for wholesale customers and stocktake with a document date

A shop, a school and a preschool can now pay different prices for the same bread without you calculating discounts in your head. You create price lists in Products, assign them to a wholesale customer, and orders and standing orders automatically use the price valid on the pickup date. Stocktake has become a document: you choose the date that goes on the printout, and every saved stocktake stays in the history.

  • Price lists: a “Price lists” button in Products - any number of net or gross price lists, prices with a “valid from” date, copying a price list (e.g. C11 as C24)
  • Price lists: assigning a price list on the wholesale customer's record; the order shows which price list the price came from, and the customer discount is calculated from the price list price
  • Price lists: “Add all products” adds the whole catalog to the price list, including products without variants
  • Inventory: stocktake with a “Stocktake date” field and notes, a document number (e.g. INW/1/2026), all items saved at once
  • Inventory: “Stocktake history” - reprint and CSV file of past stocktakes with their date; inventory export with the selected stocktake date
  • Ingredients: “Undo the last switch” after switching many ingredients to automatic pricing

v3.4.0New feature

Receiving goods from an invoice, customer records, your own categories and copying a day

The biggest batch of new features since production from recipes - mostly from the wish list of two bakeries that sell wholesale to shops, preschools and other outlets. You receive an approved purchase invoice into inventory with one button, a customer can have a short name and several delivery addresses, you group products your own way, and you can copy a whole day of orders to another day. Plus a payer and a recipient on the invoice (the municipality pays, the preschool receives) and an account owner nobody can demote. We also fixed the bug from September 27 that made some buttons and modules disappear from the menu for several hours - we apologize.

  • Inventory: “Receive into inventory” on an approved purchase invoice - quantities converted from cases and packages, goods that are not ingredients go in as “Other”, history with the invoice number
  • Customers: a short name (shown in production and packing) and several delivery addresses, suggested when you create an order with delivery
  • Customers: payer and recipient - an invoice from a preschool's order or delivery note (WZ) has the municipality as the buyer and the preschool as the recipient (also in KSeF, Poland's National e-Invoicing System)
  • Customers: a 0% wholesale discount - untick “Organization default discount” and enter your own, including zero
  • Products: your own categories in Settings next to the default ones - in the form, filters, printable menu, export and import
  • Products: a new default category, “Ice cream”
  • Orders: “Copy day” - all orders from the selected day as drafts on another day, with delivery addresses and times
  • Orders: choosing a customer no longer overwrites the price of the selected variant or tray portion; standing orders use the variant price
  • Invoices: the buyer from an order is the customer's company name, not the contact person; the KSeF setup wizard has an option for foundations and associations
  • Recipes: the printout shows grams to two decimal places (salt 2.8 g instead of 3 g)
  • Settings: the account owner - an administrator who cannot be demoted or deactivated
  • Security: we closed a gap in sign-up that allowed an account to be added to someone else's organization (it was not exploited)
  • Fix: after the September 27 update, the menu and add buttons were disappearing - fixed on September 28

v3.3.3Fix

Invoices from MAKRO: a case no longer pretends to be a single piece

MAKRO does not send KSeF (Poland's National e-Invoicing System) the number of pieces in a package - the invoice only says “piece”, which is sometimes a tub of cream and sometimes a case of eight blocks of butter. Because of this, the price of a whole case could be taken as the price of one block. BakePilot now knows the package contents of more than two hundred MAKRO products and divides the case price by the number of pieces itself before comparing it with your price. If it does not know a product, you only need to enter once how many pieces are in a case - later invoices will be converted automatically.

  • The case price from a MAKRO invoice is divided by the number of pieces in the package - butter, milk, sugar, yeast and more than 200 other products
  • The number of pieces entered once for a supplier also works when the invoice says “piece” but the price points to a case
  • An approved invoice shows exactly what you saved, and new ingredients are counted only when they were actually created
  • A line with the same price as before has the status “Price unchanged” in the summary instead of “Skipped”
  • The package weight for a supplier is entered the same way as in the ingredient form - in the selected unit (a 25 kg sack = 25)
  • Price scanner guide with an example MAKRO invoice

v3.3.2Fix

An approved invoice shows what you actually saved

A fix after a report from a bakery that went back to an invoice after approving it and saw its lines as skipped, with warnings - even though everything had been saved. An approved invoice now opens as a summary: each line shows which ingredient it went to and at what price. If the price could not be accepted, for example because the invoice gives a price per case without the number of pieces, the line says so plainly and links to the ingredient card, where you can fill in the missing information.

  • An approved invoice opens as a summary instead of a list to fill in
  • Each line shows the selected ingredient and the accepted price
  • A line without an accepted price says why and leads to the ingredient card
  • The number of lines without an accepted price is shown in the summary

v3.3.1Fix

Clearer units for ingredients

A fix after a conversation with a bakery that got stuck on the package weight. If you choose kilograms, you now enter the package weight in kilograms - a 25 kg sack of sugar is simply 25, not 25000. The ingredient list shows it the same way, so a kilogram of flour is displayed as 1 kg instead of a confusing 1000 kg. When loading invoices, the field asking about case contents now says plainly what it means: how many pieces were in one case, not how many cases you bought.

  • Package weight entered in the selected unit - kilograms in kilograms, liters in liters
  • The ingredient list shows 1 kg instead of 1000 kg
  • The price per kilogram preview is calculated correctly as you type
  • The field in invoice import is called “units per case”, with an explanation
  • All existing data stays unchanged - the fix concerns display and data entry

v3.3.0New feature

Corrective invoices

From this release you can correct a wrong invoice without leaving BakePilot. On the card of an invoice sent to KSeF (Poland's National e-Invoicing System) there is an “Issue corrective invoice” button: it opens the lines of the original invoice, you change only what needs to be different, and the app calculates the correction amount and assigns it to the correct settlement period. Corrections have their own numbering series, so they are easy to tell apart in the summary for your accountant. A separate “correction to zero” switch handles the case where the invoice has the wrong buyer NIP (Polish tax ID) - under Polish rules such an error cannot be fixed with an ordinary data correction, so the document has to be zeroed out and a new one issued. The other side of the same change concerns invoices from suppliers: corrections coming in from KSeF now go into your records instead of being rejected, and their amounts do not distort ingredient prices.

  • An “Issue corrective invoice” button on an invoice sent to or accepted by KSeF
  • The form shows the lines with the values of the original invoice - you change only what needs to be different
  • A line you do not touch does not go on the correction
  • The correction amount is shown before issuing; a negative value means a reducing correction
  • Correction to zero for a wrong buyer NIP, with a hint on what to do next
  • A separate numbering series for corrections, by default FK/number/month/year
  • The correction is created as a draft - you review it before sending it to KSeF
  • The reason for the correction is an optional field, in line with Polish regulations
  • Corrective invoices from suppliers go into your records together with their lines
  • A correction from a supplier does not replace ingredient prices - that decision is yours
  • Product names on invoices sent to KSeF are no longer shortened earlier than the regulations require
  • A clearer message when KSeF refuses the connection because of certificate permissions
  • The day, week and month arrows on the deliveries card switch the period again
  • The monthly deliveries view shows the correct date range
  • New help article: how to issue a corrective invoice

v3.2.0New feature

Takings from several locations, sales from delivery platforms and BakePilot in English and Ukrainian

The biggest release this year, built from conversations with bakeries that run several shops and sell not only over the counter. You can enter takings separately for each location, and next to them the amounts from Pyszne.pl or Uber Eats - deciding whether those sales go through your fiscal cash register or are added to the day's takings and to the VAT estimate. Cash taken out of the register can be itemized with a reason for each amount, and today's takings can be entered by the person who closes the register, without access to the rest of the reports. Time tracking shows hours split by the same locations and handles new types of absence, and the invoice price scanner reads units and weights the way different wholesalers write them - tested on our customers' real invoices. On top of that: a new automatic ingredient pricing method, Excel import without prices, a reason for inventory adjustments and the whole interface in English and Ukrainian - for teams where Polish is not everyone's first language.

  • Takings from several locations: in Settings you tick “I have several sales points” and add shops, stalls or the production kitchen - until then everything works as before
  • A separate daily report for each location: its own register, its own card terminal, its own cash reconciliation and one report per day per location
  • The report list has a “Sales point” column and a location filter, and the CSV and Excel export gets the same column
  • The monthly summary has a “Takings by sales point” table: takings, percentage share and number of customers for each location, while the cards above it show the total for the whole business
  • Locations are the same list as the locations in Time tracking - takings and team hours refer to the same places
  • The Dashboard, analytics, break-even point and VAT estimate add up the reports of all locations for a given day, and the register discrepancy formula is calculated separately for each register
  • Sales sources: you add Pyszne.pl, Uber Eats, Wolt or any other source under your own name and enter their amounts in the daily report next to the register takings
  • For each source you choose the locations where it is used - the report for a given shop shows only its sources
  • “Rung up on the cash register” switch on: these sales are already in the register takings, and the amount is only used to check the transfer from the platform
  • Switch off: the amount is sales outside the register - it is added to the day's takings on the Dashboard, in analytics and in the break-even point, and at the selected “VAT rate” it goes into the VAT estimate in Finance
  • The monthly summary has an “Other sales channels” table: the total and number of days for each source, marked “On the fiscal register” or “Off-register, VAT 8%” - you have a ready amount to compare with the platform's statement
  • When there are off-register sales in the period, the takings card splits into “Register takings” and “Off-register sales”, and the export gets a separate column
  • Cash taken out with a reason: the “Itemise” button next to the “Taken out” field turns one amount into a list of items, each with an amount and a reason, e.g. a bread delivery
  • The monthly summary adds them up in the “Cash taken out by reason” table - you can see what the cash from the register went on; the register discrepancy is calculated exactly as before
  • Takings entered by an employee: a “Today's takings” screen for the person closing the register, with only their own entries from today - no other days, monthly totals or charts
  • The “Correct” button works until the end of the day, after that the entry is corrected by an administrator in Reports; the date is set to today and cannot be changed
  • An employee's entry in Reports shows “Entered by” with their first and last name - you know who to ask about a discrepancy
  • An employee enters takings only for their own locations: you select them in Time tracking in the “Employee locations” section, and a manager who closes registers in different shops gets “All locations (e.g. manager)”
  • A new “Enter today's takings” permission in the permissions matrix - you can give it to a role without access to other reports, and then Reports in the menu takes them straight to the entry screen
  • Time tracking: a “Location” filter on the attendance list - an employee who works in two places appears in each of them with their own hours
  • The settlement shows the hours at each location under the employee's name, and below the table there is an “Hours by location” summary; the printout and export get a column for each location
  • New types of absence: “Special leave”, “Childcare leave” and “Care - care allowance (sick leave to care for a child)” - none of them reduce the annual leave balance
  • Summary for the accountant: each type of absence in the period has its own column with hours and days, and paid and unpaid entries of the same type do not merge into one number
  • Sick leave and care allowance are counted in calendar days, from date to date including Saturdays, Sundays and public holidays; hours and amounts are still based on working days
  • The invoice price scanner suggests an ingredient by name when a line has no known barcode - the suggestion has to be confirmed with the check mark button, otherwise the line is skipped
  • An invoice in kilograms or liters gives the price per kilogram or liter, not per package - the scanner converts it to the price of your supplier's package
  • An invoice in pieces, sacks, cases and multipacks gives the price per package - the scanner takes the weight from the line name, so “CUKIER 25KG WOR” (a 25 kg sack of sugar) no longer becomes a price per kilogram
  • The scanner understands how different wholesalers write things: “5 KG”, “600G”, “0,5 l”, “a 10kg”, multipacks “10x1kg” and “120ML 50SZT”, and it ignores dimensions and percentages in the name (“44CMX150M”, “typ 650”)
  • You can fill in “units per case” directly in the import preview - the case price is converted to a per-piece price right away, without opening the ingredient card
  • A price given on the invoice per gram or milliliter (e.g. 0.004 PLN) is no longer rounded to a whole grosz (0.01 PLN), so the conversion to the package price comes out right to the zloty
  • A line that cannot be calculated fairly is skipped with an explanation of what to fill in - instead of a guessed price that would silently distort the recipe cost
  • Approving an invoice changes the price only for the supplier the invoice is from - the prices of the ingredient's other sources stay untouched
  • A new ingredient pricing method, “Automatic (recommended)”: the price from the last invoice, and when an ingredient has several suppliers - the average of their prices per kilogram, so the recipe cost does not jump after every delivery
  • The existing methods (“Manual”, “From the last purchase”, “Purchase-weighted average”, “Cheapest source”) remain available on the ingredient card; new ingredients get the automatic one
  • Importing ingredients from Excel also works with a sheet without prices: a list of names is enough, and the app takes the unit from a column or from the name itself, e.g. “Mleko 1 litr” (milk, 1 liter)
  • A “Sub-recipe” category for recipes, and the recipe list has “All”, “For sale” and “Sub-recipes” tabs - sponge bases and creams do not mix with products for sale
  • Inventory: the reason for an adjustment is saved in the history, and each item shows “Recent adjustments” with the date, change, reason and the person who entered it
  • A stock adjustment no longer shows Saved when someone else changed the stock of the same item in the meantime
  • Stocktake says plainly when some items were not saved, instead of showing Saved
  • Quick stock adjustment, deleting items and changing expiry dates in inventory show a message when something goes wrong
  • The Print button works in the Android phone app after updating it from Google Play
  • Printing the stocktake and the inventory stock sheet goes the same way, so it also prints from the mobile app
  • Language choice in the user menu and on the login screen - each employee has their own, saved to their account: Polish, English or Ukrainian
  • All everyday work screens are in English and Ukrainian: production from recipes, weighing mode, your own time tracking and the kiosk, HACCP entries, Kanban, purchases and inventory
  • Invoices, delivery notes (WZ), quotes, labels and printouts stay in Polish, because they go to your customers and Polish authorities
  • Time tracking kiosk: you set the screen language on the device, and the clock-in confirmation appears in the employee's language
  • HACCP forms from ready-made templates show a translation for the employee under the Polish field name
  • Ticking “I have several sales points” is visible immediately after clicking, without waiting for the save
  • Recipe search no longer loses the selected tab
  • Moving orders on the Kanban board works in the Podstawowy (Starter) plan
  • The Today and Tomorrow buttons in the purchase planner calculate the date in Polish time, also after midnight
  • Today's figures on the Dashboard and the date in the daily report form are also calculated in Polish time - after midnight they no longer show the previous day

v3.1.1Improvement

Plans sorted out: every feature knows which plan it belongs to

Until now, access was decided by the whole module, so some features ended up in a plan by accident, together with their neighbors on the same screen. Delivery notes (WZ) required the Mistrzowski (Master) plan because they sat next to invoices, while the deliveries tab with route planning was available in every plan, even though the pricing page promised it from Profesjonalny (Professional) up. We have fixed this: every feature now has its own plan assignment, and the comparison table on our website is built from the same source as the locks in the app, so the two can no longer drift apart. Along the way, the permission matrix started working everywhere it had previously only been announced.

  • Sales analytics works in the Profesjonalny plan, just as the pricing page says
  • Delivery notes (WZ) in the Profesjonalny plan, with their own tab next to Orders and Deliveries
  • The deliveries tab and route planning from the Profesjonalny plan up; in Podstawowy (Starter) you can still mark an order for delivery and filter the list
  • Standing orders, crate tracking, stocktaking, best-before dates and production from a recipe in the Mistrzowski plan
  • The purchase planner, shopping list and contracts are available in Profesjonalny - the pricing page used to say otherwise
  • Revenue on the dashboard and in analytics is visible only to the roles you grant it to - previously everyone could see it
  • The warehouse worker has access to recipes, weighing mode and the Kanban board, the purchaser to recipes and HACCP forms, the salesperson to ingredient lists and allergens, the accountant to stock levels
  • The plan comparison table describes 69 features instead of 60 - we added the ones that already worked but were missing from it

v3.1.0New feature

Tailor role permissions to your bakery

Until now, each role had a fixed set of permissions, so if your Baker also needed to take orders, you had to give them the Salesperson role, along with customers and reports. Now the Administrator ticks individual actions in the permission matrix in Settings, separately for the Salesperson, Baker, Warehouse worker, Purchaser and Accountant. Changes are saved instantly and apply across the whole app, and a single button takes you back to the default settings. On top of that: screenshots in the production-from-a-recipe guide, a faster purchase planner and a fix after the first plan purchase.

  • A permission matrix in Settings with checkboxes for every staff role
  • A permission changed from the default has an orange dot; “Restore defaults” resets everything or just one role
  • The Administrator always has full access, and every role has the dashboard, their own profile, support and their own time clock entries
  • The “Production from a recipe” guide, plus recipe printing and the shopping list, with screenshots
  • The purchase planner calculates requirements faster when there are many recipes with sub-recipes
  • Buying a plan no longer leaves an unnecessary warning behind on the technical side

v3.0.0New feature

Production from a recipe: weigh, tick off, and an overpour can save the batch

The biggest change to recipes since BakePilot began. The recipe card and every item on the list now have a “Start production” button. You enter how much you want to make: in pieces, kilograms, portions, batches, or based on the amount of one ingredient (“I have 4.5 kg of flour”), and the ingredients recalculate themselves and are grouped into stages. While weighing, you tick them off on a tablet or phone and add weighed amounts, and if you pour in too much, the app suggests scaling up the whole production by a few percent instead of throwing the dough away. A recipe now has a photo of the finished product and production notes, visible while weighing and on the printout. On top of that: a shopping list you can tick off at the wholesaler, Time tracking fixes on the phone, and everything released since September 15: recipe printing, a read-only public API, browser tab titles, photos when creating an order, and a fix for plan activation after purchase.

  • “Start production” on the recipe card and next to every item on the list
  • Production size in pieces, kilograms, trays, portions, batches, or based on the amount of one ingredient
  • Weighing mode: ingredients in stages, large buttons, weighed amounts with history, a progress bar
  • Poured in too much? “YES, scale up production +X%” recalculates the rest and tells you how much to add to what you have already weighed
  • A photo of the finished product and production notes on the recipe, in weighing mode and on the printout
  • A production stage (E1, E2…) next to an ingredient in the recipe
  • When production is finished, stock is reduced by the amounts actually weighed
  • “Print” prints the base recipe; you print the card in the recalculated size from production
  • Purchase planner: “Save shopping list” and ticking items off on your phone in the store, a list shared across the bakery
  • Requirements in the planner are calculated from the recipe yield (previously quantities came out too low) and include sub-recipes
  • Time tracking on the phone: monthly summary without shifted totals, attendance and leave balances as cards
  • Editing a recipe with a sub-recipe saves again
  • Recipe printing: from the card, selected recipes or all of them, each on a separate page
  • A read-only public API: recipes (with recalculation), ingredients, products, orders, delivery notes (WZ), quotes, contracts
  • The browser tab title starts with the module name, e.g. “Orders | BakePilot”
  • You can add photos and graphics right when creating an order
  • A plan purchase activates automatically after payment

v2.9.0New feature

Sub-recipes in recipes, photos on orders and honest prices from the scanner

A big batch of changes in one release. You can now put a cream or a sponge directly into another recipe, not just into a product variant. Its cost is calculated together with the other ingredients, and the fixed cost markup is added only once, on the final recipe. You can attach an inspiration photo or a graphic for a sugar sheet to an order. The invoice price scanner no longer inflates prices: it takes into account discounts recorded with a minus sign and no longer enters the price of a carton as the price of a single piece. The price chart on the ingredient card is finally readable, and when the connection to the database fails, you will see an error instead of a message about upgrading to a higher plan.

  • A sub-recipe as a recipe item: “Add a sub-recipe (another recipe)” next to the ingredient search
  • Circular recipes are blocked - such an option does not appear in the selection list
  • Photos and graphics on orders: up to 10 files of 10 MB each, JPG, PNG, WEBP, HEIC and PDF
  • The price scanner takes discounts into account regardless of how they are recorded (plus or minus)
  • The price of a bulk package no longer goes into the ingredient as the price of a single piece
  • A new field for the supplier: pieces per bulk package
  • Invoices issued with gross amounts are saved with their line items
  • A readable price chart: an axis with prices, dates, points in supplier colors and a tooltip with the invoice number
  • A database connection failure shows an error, not an offer of a higher plan
  • You choose where an ingredient's price comes from: manual, last purchase, weighted average or the cheapest supplier
  • A supplier comparison above the supplier list: cheapest, most expensive and how much you lose per kilogram
  • An alert when the last purchase differs from the average by more than 15%
  • The product card shows how much of the price is raw materials, packaging, markup and margin
  • In Finance: the fixed cost markup you set versus the one resulting from your actual costs
  • Ingredients and allergens on the label include ingredients hidden in sub-recipes

v2.8.17Fix

The ingredient list no longer breaks when you narrow your search

If you were on the second page of the ingredient list and started searching by name, the list showed an error instead of results, because the address kept the page number, and after narrowing the search that page was empty. Now in this situation we go back to the first page of results. The second fix is invisible but important for mailings: when a message bounces from a non-existent address, we deactivate that address in the newsletter database even if the bounce concerned a transactional message, such as a sign-up confirmation. This way we do not send campaigns to addresses that no longer work.

  • Narrowing your search on a later page of the list no longer ends in an error
  • Addresses that bounce messages do not receive further mailings

v2.8.16Fix

All documentation reviewed article by article, with screenshots

We reviewed all 76 documentation articles, sentence by sentence, comparing them with how the app really works. We corrected every place that described a feature differently or promised something that does not exist: ingredients are entered in the recipe, not in the product; in a variant you enter the recipe usage (“use 1 of 40”), not a multiplier; a sub-recipe is a separate recipe linked to a variant; you add an employee with a temporary password, not an email invitation; a quote has a “Send by email” button; the KSeF (Poland's National e-Invoicing System) wizard has three steps; revenue in analytics comes from daily reports. Every article got numbered steps with the exact names of buttons and fields, plus screenshots from the app (over 100). A new category, “Step-by-step guides”, takes you from an ingredient to a finished product in five scenarios. Along the way we fixed three things in the app: the recipe card did not add oven and mixer electricity to the total cost (now there is an “Energy (oven, mixer)” line and the same amount as on the product card), the GHP/GMP board in HACCP did not save checks, and the cake configurator had buttons without Polish characters.

  • 76 articles checked against the app, numbered steps and over 100 screenshots
  • A new category, “Step-by-step guides”: from an ingredient to a product in five scenarios
  • Recipe card: an “Energy (oven, mixer)” line and a total cost equal to the one on the product card
  • HACCP: saving GHP/GMP checks works; the cake configurator with Polish characters

v2.8.15Documentation

Step-by-step guide: from an ingredient to a finished product

The documentation has a new category, “Step-by-step guides”. Six articles walk you through the whole path from an ingredient, through a recipe, to a product with a variant, with real numbers and screenshots from the app. There are separate scenarios for donuts and individual desserts (products sold by the piece), cake sold by weight, cake by the tray and by the slice, and a celebration cake (sizes as variants or the configurator). The last chapter shows what else variants can do: several recipes in one variant, boxes, price per portion, price suggestions, a discount simulator for business customers and allergens from the recipe. The same guide can be downloaded as a PDF. The documentation is leaving its testing phase. Along the way we fixed three things: a recipe sold by weight distorted the variant cost (a hidden pieces field), the link to the cake configurator led nowhere, and the dashboard showed a character code instead of an ellipsis.

  • Six guides: from an ingredient to a product, individual desserts, by weight, by the tray, celebration cake, advanced variants
  • Screenshots and numbers from a real run in the app
  • A product variant with a recipe sold by weight: you enter kilograms, not pieces
  • Fixed links to the cake configurator

v2.8.14Fix

Stronger account security and a refreshed homepage

We carried out a full security audit of the app and strengthened data protection. Each bakery's data is separated from the others at the database level, and we added an extra layer of protection that enforces this independently of the other mechanisms. We also tightened how plans are granted: a plan can now be changed only through payment handling. Along the way we fixed a bug where changing an employee's role in settings showed a confirmation message but did not save. If you changed someone's role and it seemed to have no effect, please try again. We also refreshed the homepage: less scrolling in the features section and a clearer layout.

  • An extra layer of data protection between accounts
  • Plan changes only through payment handling
  • Fixed role changes and employee deactivation
  • A clearer homepage with less scrolling

v2.8.13New feature

Copy the PTU amounts from your cash register, we will do the rest

The daily report from a Polish fiscal cash register prints the PTU (VAT) amount for each rate, not gross sales. Until now the app only accepted gross amounts in the split, so you had to convert them in your head or enter the tax and spoil your VAT estimate. Now there is a switch above the split fields: you enter gross amounts or PTU amounts, depending on what you have on the printout. The same works in the bulk entry for a whole month, when you did not fill in daily reports as you went but have a monthly report broken down by rate. With several rates at once, such as baked goods at 5%, catering at 8% and packaging at 23%, just copy the values from the report, and we will calculate the tax and net sales ourselves.

  • A switch: gross amounts or PTU (tax) amounts from the cash register
  • The same choice in the bulk entry for a month
  • Handles several rates at once without manual conversion

v2.8.12Fix

The daily report warns you when a tax amount ends up in the VAT split

In the daily report, in the “Takings by VAT rate” section, you enter gross sales at a given rate, and the app calculates the tax itself. The fields were labeled only with the rate, so it was easy to copy the VAT amount from the cash register report there. The app then only gave a gentle “the split differs from the takings” notice, which is easy to miss when filling in reports every day, and the VAT estimate came out more than ten times too low. The fields now say plainly that they expect the gross amount, and when the total of the split is much lower than the takings from the register, you get a clear warning that it looks like a tax amount. If you filled in the split earlier, check a few past reports.

  • VAT split fields labeled as the gross amount
  • A clear warning when the split looks like a tax amount

v2.8.11Fix

The VAT bulk entry makes sure you enter gross amounts

In the VAT split bulk entry, you enter gross takings at a given rate, and the app calculates the tax itself. However, the fields were labeled only with the rate, so it was easy to copy the VAT amount from your accountant's summary there. Such an entry went through without any warning and underestimated the result by up to more than ten times. The fields now say plainly that they expect the gross amount, and when the total entered is clearly lower than the takings for the period, the app warns you. If you used the bulk entry, look at earlier periods and check that the rate fields contain gross sales amounts, not just the tax.

  • Bulk entry fields labeled as the gross amount
  • A warning when the total looks like a tax amount instead of takings

v2.8.10Fix

An important fix to the VAT estimate

We fixed two bugs in the Finance module that could underestimate the estimated output VAT. The first concerned partially filled periods: if some days had takings split by rate and you filled in the rest in bulk from the monthly cash register report, the app showed a misleading discrepancy warning and nudged you to enter an amount that was too low. The second concerned people who do not keep daily reports at all, only the monthly report from the register: their receipt sales were not included in the calculation, and the bulk entry button did not even appear. The form now says plainly that you are copying amounts for the whole period and shows how much of them will go into the calculation. If you used the VAT estimate for earlier periods, check it again and compare it with what your accountant calculated. As a reminder, the module provides a supporting estimate, not a tax return.

  • The bulk entry is compared with the takings for the whole period, not only the days without a split
  • You can see how much of the amount entered will go into the calculation
  • Receipt sales are counted even without daily reports, from the monthly report alone
  • A clear notice when there are no daily reports in the period

v2.8.9Improvement

A more convenient production board and the full menu on your phone

The Kanban board no longer stretches downward. Previously, with more orders, the columns grew so long that the headers went off screen and you had to scroll the whole page to see what was in production. Now the board has a fixed height, and each column scrolls on its own, so the stage names always stay on top. Columns with nothing in them collapse into a narrow tab and make room for the ones with orders. Just hover over or tap such a column to expand it, and while you drag a card they open by themselves. We also improved the menu on the phone: it now shows all modules, including Cakes, Finance and the Invoice price scanner, which were missing before. Order details finally use the full width of the screen instead of fitting into a narrow column.

  • Kanban columns with a fixed height, each scrolling on its own
  • Empty columns collapse into a tab and make room
  • The phone menu with the complete set of modules
  • Order details across the full width of the screen

v2.8.8Improvement

A faster order form and a faster first load

The order form went on a diet: each line item is now one compact row, with the product, quantity, price and value side by side, and notes for the item hide under an icon and expand only when needed. An order with a dozen or so items fits on one screen instead of stretching over several. You can do everything with the keyboard alone: type part of the name, pick the product from the list with the arrow keys, Enter confirms and jumps to the quantity, another Enter to the price, and Enter on the last item adds the next row right away, just like at a checkout. We also sped up the first load of the app: the panel no longer preloads dozens of subpages in the background, so startup is noticeably lighter, especially on slower connections.

  • An order line item in one compact row - less scrolling
  • Item notes collapsed under a note icon
  • Pick a product with the arrow keys and Enter, without touching the mouse
  • Enter takes you through quantity and price to the next item
  • A lighter first load of the panel - less work in the background

v2.8.7New feature

Crate balance per customer

Transport crates are no longer just a note on a document: the system now tracks how many each customer has. When an order with crates filled in is handed over, the crates are automatically added to the customer's account. On the customer card you can see the balance of small, medium and large crates, accept returns with one click and browse the movement history, with a distinction between what went out with an order and what was recorded manually. If a customer returns more than was recorded, we show a negative balance instead of hiding it, which is a sign that it is worth filling in the missing history with a manual issue. We also fixed data refreshing in the demo version of the app.

  • Crate balance (small, medium, large) on every customer's card
  • Issued crates are added automatically when an order is marked as Handed over
  • “Accept return” and manual issue straight from the customer card
  • Movement history that distinguishes issues from orders from manual ones
  • A negative balance shown plainly - nothing is rounded to zero

v2.8.6New feature

Standing orders and delivery notes (WZ) with a consolidated invoice

The two biggest features for bakeries and pastry shops working with wholesale customers. Standing orders replace an Excel sheet with a tab for every day of the week: you open a customer's recurring order, click “Save as standing”, choose the day and time, and from then on the system generates that order by itself every week, two days in advance. Prices come from the current price list, and for negotiated rates you can enter a fixed price. You adjust a single day on the generated order, without touching the template; while the customer is on vacation, you pause the template with one click. The second new feature is delivery notes (WZ, the Polish goods issue document): you issue one from an order with one click and print it with space for signatures, and at the end of the month you filter a customer's delivery notes, select them and create a consolidated invoice with one click, with the items summed up and the delivery note numbers in the notes. The system keeps track of delivery note numbering and of which issues have already been invoiced.

  • Standing orders: a template per customer per day of the week, generated automatically every night
  • “Save as standing” on an order - one click instead of entering it every week
  • “Generate now” for the nearest date, and pausing the template during a break
  • Prices from the current price list or a fixed price entered in the template
  • Delivery notes (WZ) issued from an order, with their own numbering and a printout for signing
  • A delivery note list with filters by customer, month and invoicing status
  • A consolidated invoice from selected delivery notes - items summed up, delivery note numbers in the notes
  • The hide prices switch also works on the delivery note printout

v2.8.5New feature

Easier work with wholesale orders

This package came out of a conversation with a bakery that serves mainly wholesale customers: shops and pastry shops ordering a dozen or so items a day. You can now print orders one at a time straight from their page, and after selecting several on the list, print a full set in which each order lands on a separate page, ready to send with the driver. Printouts got a hide prices switch: when quantity matters, not the amount, prices disappear and quantities become larger and clearer. Under each order item you can add a note (for example “sliced” or “pack separately”) that goes onto the printout and into production. We also added the payment method and the number of crates handed over on the document, a “Duplicate” button that copies the whole order to a new date, a setting to start new orders in wholesale mode right away, and a “We do not make cakes” profile that hides cake features in bakeries that do not make them. Along the way we fixed issuing an invoice from an order: the gross amount on the invoice now matches the order amount.

  • A print button on the order page
  • Print selected - each order on a separate page
  • A hide prices switch on printouts, with clearer quantities
  • Notes under each order item, visible on the printout and in production
  • Payment method and small, medium and large crates on the document
  • Duplicate an order - a copy of the items to a new date with one click
  • A setting: new orders are wholesale (B2B) by default
  • A “We do not make cakes” profile that hides cake features
  • An invoice from an order calculates prices so that the gross amount matches the order

v2.8.4New feature

Break-even point: how much you need to take in per day

The Finance tab now shows the one number every owner is waiting for: how much you need to take in per day to break even. We calculate it from fixed costs (categories marked as fixed, such as rent, utilities, leasing and accounting), labor costs taken straight from the Time tracking module, and the gross margin resulting from your takings and raw material invoices. You do not have to enter anything manually: if you keep daily reports and fetch invoices, the number appears by itself. Next to the break-even point you can see the average takings for the period, how many percent you are above or below it, and how many days in the month fell below it. If something is missing from the data, we say so plainly instead of showing a number that looks credible but is not.

  • A daily break-even point in the Finance tab
  • A breakdown into fixed costs, labor costs and gross margin
  • A comparison of the break-even point with the average takings for the period
  • The number of days below the break-even point in the selected month or quarter
  • Labor costs taken automatically from the Time tracking module
  • A clear notice when data is missing and the break-even point is understated
  • A completed list of data processors in the Privacy Policy

v2.8.3New feature

Administrator password for Finance and Time tracking

Finance and Time tracking show wages, costs and taxes, and in many bakeries the whole team works on one account. These two modules can now be locked with an extra password that only the owner knows. The link to set it up is sent to the company email; if you do not use it, everything works exactly as before. After entering the password, the modules stay open until you log out and only in that browser, so someone who logs in from another phone or computer will be asked separately. On a shared computer in the back room, the “Lock again” button comes in handy: it closes both modules with one click without logging you out of the app. We also fixed payment due dates on invoices fetched from KSeF (Poland's National e-Invoicing System): previously the issue date was shown there instead of the actual due date.

  • An extra password protecting Finance and Time tracking, independent of the login password
  • Set up from a link sent to the company email, so that no one but the owner can change it
  • The password is requested once per session, separately on each device
  • A “Lock again” button for the shared computer in the bakery
  • Changing the password closes access everywhere the modules were open
  • The protection is optional - you can turn it off at any time
  • The correct payment due date on invoices from KSeF, including installment payments

v2.8.2Improvement

Cost structure and faster invoice sorting

The Finance tab now has a “Cost structure” view: you can see what share of your spending went on raw materials, utilities, rent or transport, how that changed compared with the previous period, and who your largest suppliers are. The calculations use net amounts, because you deduct the VAT anyway. On top of that, faster sorting of the invoice list: you select several items (also as a range, with the Shift key) and assign them a category or mark them as paid with one click. This is especially useful after the first download of past invoices from KSeF (Poland's National e-Invoicing System) and when ticking off payments against your bank statement.

  • Cost structure: the percentage share of each category compared with the previous period
  • A split into direct costs, fixed costs and investments
  • A list of the five largest suppliers with amounts and shares
  • A notice when some documents do not have a category yet
  • Selecting invoices on the list, including a whole range with the Shift key
  • Assigning a category to many invoices at once
  • Marking many invoices as paid and undoing that

v2.8.1Improvement

Cost categories and a more convenient invoice list

You can now organize purchase invoices and costs by category: raw materials, packaging, utilities, rent, services and a few others prepared for a bakery. The most convenient part is that you only need to assign a category to an invoice from a given wholesaler once, and its next documents go there by themselves, including those fetched automatically from KSeF (Poland's National e-Invoicing System). If the ready-made categories do not fit, you can add your own. On top of that, the invoice list got a batch of improvements you requested: sorting by clicking a column header, choosing which columns are visible, the payment due date and searching by product name, so you type the name of an item and see the invoices that include it. We also fixed a few things in the KSeF integration found during the first real runs.

  • Cost categories for purchase invoices and manually added costs
  • Automatic category assignment by supplier - you set it once and the rest happens by itself
  • Your own categories when the ready-made ones do not reflect your business
  • Sorting the invoice list by clicking a column header
  • Choosing visible columns - you show only what you need
  • A new column with the payment due date
  • Searching invoices by the product name in the document's line items
  • The KSeF number shown next to the invoice number instead of in a separate column
  • One panel for fetching purchase invoices instead of two, with an option to catch up on older months
  • Fetched invoices now show their line items, not just the summary amounts
  • Fixes in the KSeF permissions view and in fetching many invoices at once

v2.8.0New feature

Finance: how much to set aside for VAT

The new “Finance” tab shows the owner how much to set aside for VAT for the current period, without waiting for a call from the accountant. We calculate it from what is already in the system: sales invoices, cash register takings and cost invoices (those from KSeF, Poland's National e-Invoicing System, are fetched automatically). To calculate the tax on receipt sales, when closing the day you can now copy the takings split by rate from the fiscal cash register report. This field is optional and does not block saving the report. For earlier months, it is enough to enter the split from the monthly cash register report once. Every amount can be broken down into the documents it came from and exported to a spreadsheet for your accountant. This is a cash flow planning tool, not a tax return: your accounting remains the source of truth.

  • The VAT amount payable for the period, with the due date and the number of days left
  • A breakdown by rate: how much output VAT from sales and how much input VAT from purchases
  • Takings by VAT rate in the daily report (optional, copied from the cash register)
  • Bulk entry for older months in a single entry
  • A list of the documents behind each amount, with a link to the document
  • Export of the summary to a spreadsheet (XLSX) - to send to your accountant
  • The invoice scanner now also reads VAT amounts and adds the invoice to the records
  • Manually adding costs from outside KSeF (rent, fuel, foreign invoices)
  • Monthly or quarterly settlement, selectable in the invoice settings
  • A visible notice about missing data - the amount never pretends to be complete

v2.7.1New feature

KSeF without a qualified signature and automatic cost invoices

Connecting to KSeF (Poland's National e-Invoicing System) is now simple: a new wizard in the invoice settings walks you through the whole process. All you need is a free Profil Zaufany (the Polish government's trusted profile), without buying a qualified electronic signature. The certificate is issued in a dozen or so seconds and renews automatically. The second new feature, for the Mistrzowski (Master) plan: purchase invoices from wholesalers that go to KSeF are fetched by themselves. Items with EAN codes and prices after discounts land in the price scanner for your approval, without taking photos and with one hundred percent accuracy. The photo scanner still works for suppliers outside KSeF.

  • A step-by-step KSeF connection wizard (Profil Zaufany or a qualified signature)
  • A KSeF certificate issued automatically and renewed without your involvement
  • Separate instructions for sole proprietorships and companies
  • Automatic fetching of purchase invoices from KSeF once a day (Mistrzowski plan)
  • A “Fetch now” button - cost invoices on demand, without waiting
  • KSeF invoice items in the price scanner: a preview of price changes and approval as before
  • The invoice source (KSeF, photo or file) shown on the scan list
  • A reminder for businesses connecting with a token: KSeF tokens will stop working on January 1, 2027

v2.7.0New feature

Time tracking, product labels and improvements

A big release. The new “Time tracking” module lets you keep records of your team's working time without paper or Excel: employees clock in and out on a shared tablet (with a PIN) or from their own phone, you build the schedule, and the app creates the attendance list, manages leave and calculates hours for payroll (available in the Mistrzowski (Master) plan). We also added print-ready product labels, with your logo, ingredients, allergens and a nutrition facts table. On top of that, a set of improvements to ingredients, variants and recipes requested by bakeries.

  • Time tracking: clocking in with a PIN or from a phone, a shift schedule, an attendance list
  • Time tracking: approving overtime, leave with a day counter, hours summary
  • Product labels for printing (PDF): your bakery logo, description, ingredients, allergens
  • Labels: a nutrition facts table calculated automatically from the recipe
  • Labels: net quantity, best-before date, storage conditions, manufacturer
  • Uploading your bakery logo in settings (it goes onto labels)
  • Ingredients: categories (including “Sub-recipe”) and a warning about a missing price per kg
  • Variants: marking the price as gross or net, with VAT conversion
  • Variant recipes: a convenient “use 1 of 34” choice instead of typing a fraction

v2.6.12New feature

Bulk order status change

On the order list (in the desktop view) you can now select several orders at once and change their status with one click, for example mark a whole batch as “In production”, “Ready” or “Handed over”. You tick the boxes next to the selected orders (or all of them on the page), choose the status from the bar at the top, and you are done. It is the same action business customers used to do order by order.

  • Selecting multiple orders on the list
  • Changing the status of all selected orders with one click
  • Select all orders on the page at once
  • Inventory: “Import from ingredients” - adds missing ingredients with one click
  • Better protection of forms and demo access against spam and bots

v2.6.11New feature

A big batch of improvements: recipes by the piece and by the kg, full exports, a fixed calendar

A combined release with many new features and fixes. Every recipe now has a “The batch yields” setting: trays (as before), pieces (e.g. 40 blueberry buns from one batch, with cost and price per piece) or kilograms (baked goods sold by weight, with cost and price per kg); the calculator, product card and orders then show the right prices. CSV/Excel exports contain the complete data: products with ingredients, allergens, B2B price, tray prices and a separate row for each variant, and orders, customers and ingredients with full columns. Your own column with the number of pieces on the order list can count a premium variant separately, with a counter in the format 30 (3). We also fixed three reported bugs: the synchronized calendar (iCal) shows all orders again, customer suggestions work when you type first and last name together, and product sales statistics count orders that were handed over. We are also tidying up access to the public API, which is now available from the Profesjonalny (Professional) plan.

  • Recipes: “The batch yields” - trays, pieces or kilograms
  • Full CSV/XLSX exports: complete data, variants and tray prices
  • A quick order column with a premium variant breakdown - 30 (3)
  • The iCal calendar shows all orders regardless of how many there are
  • Customer suggestions work for a phrase with first and last name
  • Product sales statistics count orders that were handed over
  • Public API from the Profesjonalny plan (unlimited during the trial)
  • Number fields accept both a comma and a dot (e.g. 3,2 kg)
  • A refreshed Changelog page: filters and a release activity map

v2.6.10Improvement

A fuller pricing page, new feature pages and an expanded FAQ

We reviewed the pricing page and materials on bakepilot.pl so they show everything recently added to the app. The feature map now also includes the public API, the Android app, the cake portion calculator and your own product numbers. We also added four new pages describing features and new FAQ questions, and the plan descriptions in the app were aligned with the pricing page.

  • The pricing page now includes the API, the Android app, the portion calculator and PLU/SKU numbers
  • New pages: cake configurator, deliveries and routes, invoice price scanner, API and integrations
  • Five new FAQ questions and improved answers about KSeF (Poland's National e-Invoicing System) and the mobile app
  • Consistent plan descriptions in the app (cake configurator from the Profesjonalny (Professional) plan)

v2.6.9Improvement

Website layout fixes on the phone

A few touch-ups to bakepilot.pl on the phone: we fixed the menu in the documentation (it could be opened but not closed), removed an unnecessary gap at the top of the homepage and fixed a situation where the page could “slide” sideways off the screen. We also refreshed the header on the homepage.

  • The documentation menu closes properly on the phone
  • The page stays within the edges of the screen (no more horizontal scrolling)
  • A smaller gap at the top of the homepage
  • A clearer header in the welcome section

v2.6.8Fix

Correct takings amounts in daily reports

We fixed the summary at the top of daily reports. “Total takings” used to count card terminal payments twice, and “Cash” showed the whole register total instead of cash alone. Now the amounts and the average basket add up to the last zloty: takings are the register total alone (the terminal is already included in it), and cash is the register total minus the terminal.

  • “Total takings” no longer adds the terminal a second time
  • “Cash” = register total minus terminal (not the whole register total)
  • A correct average basket calculated from the right takings
  • Applies to the daily and monthly summary

v2.6.7Documentation

Refreshed documentation and interactive API documentation

The help center on bakepilot.pl has been reviewed: the API section has a new article about the interactive documentation (Swagger), where you can test requests directly in your browser. We updated the articles about orders (pagination, broader search, editing orders in production), deliveries (route in Google Maps, changing the status from the card) and products (CSV import, PLU numbers). Hints in the app now lead to the right help articles.

  • A new article: interactive API documentation (Swagger) with key authorization
  • Updated articles about orders, deliveries and products
  • Hints in the app link to the right help pages
  • New hints on the Cakes (configurator) and Invoices pages

v2.6.6Improvement

Paginated lists, an improved order form and consistent buttons

Long lists (orders, products, customers, recipes, ingredients and invoices) are now paginated: on a computer you choose the page and the number of items (10/20/40/100), on a phone you load more with the “Load more” button. This way lists open instantly regardless of how much data you have, and exports still cover everything. We also improved the order form (on the phone the date and delivery fields overlapped, on a computer it makes better use of the screen width) and made buttons look the same across the whole app.

  • Pagination of the 6 main lists with a choice of items per page
  • “Load more” on the phone instead of long scrolling
  • CSV/Excel export always covers the whole filtered list
  • Order form: no more overlapping fields on the phone
  • Consistent button sizes, with clear icons on the phone

v2.6.5Improvement

The dashboard and orders load much faster

We sped up data loading across the whole app - you will notice it most on the dashboard and the order list when you have a lot of data. The dashboard now fetches only what it actually shows (instead of the entire order history), and the revenue chart is calculated in one step instead of seven. We also shortened the path data travels between the app servers and the database.

  • The dashboard loads faster even with thousands of orders
  • The 7-day revenue chart is calculated in a single query
  • The Deliveries tab loads data in parallel (shorter waiting)
  • Fewer repeated queries with every click in the menu

v2.6.4Improvement

Smoother switching between screens

After you click in the menu, the screen no longer “freezes” until the data loads - an outline of the page (the header and placeholders for the list) appears right away, and the content fills in a moment later. This makes the app feel much faster and more responsive, especially on a phone.

  • An instant preview of the page being loaded (no freezing)
  • Noticeably smoother navigation between modules
  • A better sense of speed on phones and tablets

v2.6.3Improvement

Faster and better order search

The search box on the order list now works more smoothly and finds more. The field reacts a moment after you stop typing (no more stuttering after every letter), and you can search by the customer's surname, phone number, email, NIP (Polish tax ID) and order number - in full or in part. The email and customer details are matched even when the order only has the first name and surname saved.

  • A smoother search field (no stuttering while typing)
  • Search by surname, phone, email, NIP and ZK order number
  • Matching by a fragment and by customer details from the contact database

v2.6.2Fix

Route optimization no longer breaks on unusual addresses

We fixed a bug where “Optimise route” ended with the message “Could not connect to the server” when one of the delivery addresses contained a note or special characters (e.g. a parenthesis or a remark like “call before”). Now such an address is simply skipped when locating stops, and the rest of the route is optimized as usual.

  • No more “Could not connect to the server” with unusual addresses
  • A single problematic address no longer blocks the whole route
  • Optimization works for addresses with remarks and special characters

June 2026

v2.6.1Fix

The delivery route opens in Google Maps with every stop

After route optimization, the “Open in Google Maps” button now shows all stops - including on long routes. Previously, Google Maps displayed at most 9 waypoints and silently skipped the rest. Now the whole route, even with a dozen or so deliveries, lands on the map in the correct order.

  • All stops visible on the map (no more 9-point limit)
  • Works for long routes with a dozen or so deliveries
  • The order of stops matches the optimized route

v2.6.0New feature

BakePilot is now on Google Play

We did it! BakePilot is now available as an Android app - you can download it straight from Google Play and have your bakery at hand on your phone and tablet. It is the same app as in the browser, with the same data and account. You will find the “Get it on Google Play” badge on our website.

  • The BakePilot app available for download on Google Play
  • The same data and login as the browser version
  • Convenient access from Android phones and tablets

v2.5.18Improvement

Deliveries: handed over moves to the bottom, the route stays after a status change

Improvements to the “Deliveries” view. When you mark a delivery as “Handed over”, it jumps to the bottom of the list - the ones still to do stay at the top. Changing the status no longer wipes the optimized route (the order is kept). In the “Route order” summary, delivered stops are marked in green.

  • Handed-over deliveries land at the bottom of the deliveries list
  • Changing the status keeps the optimized route order
  • Delivered stops in green in “Route order”

v2.5.17New feature

Quick status change in the Deliveries view

In the “Deliveries” tab you can now change an order's status with one click - just like on the order list. You no longer have to open the order details to mark a delivery as, for example, “Handed over”.

  • A status selector on every delivery card
  • Works like on the list - without opening the order

v2.5.16Fix

Fix for adding orders + hiding cancelled ones

We fixed a bug where some orders would not save, showing the message “Form validation error”. The form now also shows exactly which field needs correcting. In addition, cancelled orders - like handed-over ones - are hidden on the list by default; you can show them with the “Cancelled” filter.

  • Fixed order saving (e.g. a customer not on the list, a product without a variant)
  • An empty “Delivery cost” / “Deposit” field no longer blocks saving (counted as 0)
  • A clearer error message - it points to the specific field
  • Cancelled orders hidden by default (use the “Cancelled” filter to show them)

v2.5.14New feature

A “Deliveries” filter on the order list

We added a “Deliveries” filter to the order list - with one click you show only orders with delivery. It works together with the other filters (date, status, B2B) and the search box.

  • A new “Deliveries” filter shows only orders with delivery
  • Combines with the date, status and B2B filters

v2.5.13Improvement

Orders from integrations can arrive in a chosen status right away

Orders created through the API (e.g. from a sign-up form on your website) can now arrive straight in a chosen status - e.g. “In production” - instead of always as “Draft”. This way you do not have to click through them manually after an import.

  • The API accepts an optional status for a new order (“Draft” by default)
  • Allowed: Draft, Confirmed, In production, Ready

v2.5.12Fix

All deliveries visible on the delivery list

We fixed the “Deliveries” view - it now shows all deliveries scheduled for a given day, including orders in the “Draft” status (e.g. those from a form or an integration). Previously only confirmed orders were visible, so some deliveries did not appear on the list or on the route printout. We also shortened the header of the custom product column so it does not take up unnecessary space (full name on hover).

  • The “Deliveries” view shows all deliveries except cancelled ones (including “Draft”)
  • Applies to the daily, weekly and monthly views and the route printout
  • The custom column header shortened to 3 letters (full name in a tooltip)
  • The column header shows the total number of pieces for the current view (responds to the date filter)

v2.5.11New feature

A custom column on the order list - pieces of a chosen product

You can now add a custom column to the order list that immediately shows how many pieces of a chosen product are in each order - without opening the details. In Settings (administrator) you enter part of the product name, e.g. “jagodzianka” (blueberry bun), and the total number of pieces appears on the list and on the cards. The feature is set individually for your business and is off by default.

  • A configurable column with the total pieces of a chosen product
  • Set in Settings by the administrator (part of the product name)
  • Visible on the list (computer) and on the cards (phone)
  • Individual per organization, off by default

v2.5.10Improvement

A clearer order list - handed over hidden, better date filters

The order list no longer keeps growing with picked-up orders. The “Handed over” status is now hidden by default - to see those orders, just click the “Handed over” filter. We also improved date filtering: choosing a day or a range (and the “Today”/“Tomorrow” shortcuts) now shows all orders from that day, regardless of the pickup time.

  • “Handed over” orders hidden by default on the list and on the printout
  • The “Handed over” filter shows picked-up orders when you need them
  • Fixed filtering by date and date range (and “Today”/“Tomorrow”)

v2.5.9New feature

API keys - connect BakePilot with other systems

You can now connect BakePilot with external systems and pass customers and orders to it automatically - for example from your own sign-up form on your website. In Settings you generate an API key (administrator), and your developer uses it for the integration. Full documentation where you can try things out is available online.

  • A new “API keys” section in Settings - generating and revoking keys (administrator)
  • Automatic adding of customers and orders from external systems
  • The customer is recognized automatically by phone number (no duplicates)
  • Interactive API documentation where you can test requests live

v2.5.8Documentation

An expanded knowledge base and a new guide to the mobile app

We added new guides to the knowledge base and refreshed the existing ones. There is now a separate article about the mobile app for iOS and Android - where to download it, how to log in and how it differs from the browser version. We also expanded the descriptions with raw material cost per kilogram and per piece, ingredient price change history, sorting the order list and the plan feature comparison.

  • New guide: “Mobile app (iOS and Android)” - installation, login, notifications
  • Recipes: a description of food cost per kilogram and per piece, along with the margin
  • Ingredients: a description of an ingredient's price change history
  • Orders: a description of sorting the list by columns
  • Subscription: a plan feature comparison and refreshed payment methods

v2.5.7New feature

Cost per piece, ingredient price history, sorting and mobile improvements

A big batch of improvements. On a recipe sold by the piece, you now see the cost of a single piece (food cost, total cost and margin). The ingredient card now has a “Price change history” - when and from what amount to what amount the price changed. You can sort the order list by any column (on a computer you click the header, on a phone you choose from the “Sort” menu). We also improved how things work on the phone: you edit an order's status with a tap and can open the full ingredient details.

  • Food cost and total cost per piece on the recipe + margin per piece
  • Price change history on the ingredient card - date, price before and after, direction of change
  • A price change at the supplier correctly updates and saves the ingredient price
  • Sorting the order list by columns (computer: headers, phone: the “Sort” menu)
  • Editing an order's status with a tap on the phone
  • Opening full ingredient details from the list on the phone
  • The Invoice price scanner shown in the pricing of the Mistrzowski (Master) plan
  • Technical fixes to how the website appears in Google search (FAQ sections)

v2.5.6Improvement

A more responsive mobile app and a calendar sync fix

The app reacts to every touch right away. Buttons instantly show that they have been pressed, and when you move between screens, a loading bar appears at the top - so you can see straight away that something is happening, even before the new view loads. We also fixed adding the calendar via an iCal link - the subscription now works correctly in Calendar on Mac and iPhone and in Google Calendar.

  • An instant reaction when you tap buttons and icons
  • A loading bar at the top when moving between screens
  • The “+” button shows a loading spinner while a new order opens
  • Calendar sync (iCal) fix - the link works in Apple Calendar and Google Calendar

v2.5.5Improvement

Interface performance optimizations

A package of technical improvements under the hood: forms and lists refresh more efficiently (fewer unnecessary reloads), and the interface code has been tidied up for greater stability. No changes to the way you use the app.

  • Smoother opening and filling in of forms (customers, products, ingredients, orders)
  • Small performance improvements to lists and views

v2.5.4Fix

Daily report reconciliation fix

We fixed how the balance and the discrepancy are calculated in the daily report. The day balance is now the total of everything that came in outside the fiscal cash register (card terminal and all the cash counted), and the discrepancy shows the real difference against the register takings. Previously the discrepancy was calculated incorrectly. All existing reports have been recalculated automatically.

  • Day balance = card terminal + set aside + left in the register + taken out + coins
  • Discrepancy = day balance - register takings (surplus in green, shortfall in red)
  • All earlier reports recalculated using the correct formula

v2.5.3Fix

Price scanner fix - photos from the camera

We fixed the invoice price scanner: photos taken with a phone camera (especially high-resolution ones) sometimes failed to load - the button kept spinning forever. Reading now works correctly, and if something goes wrong, you will see a clear message instead of a loading spinner that never stops.

  • Invoice price scanner: photos from the camera (up to 10 MB) load correctly
  • A clear error message instead of a button that keeps spinning forever

v2.5.2Improvement

Cake portion calculator, report fixes and a delivery icon

A package of improvements with everyday work in mind. In the cake configurator we added a portion calculator by diameter (based on Marta Mężyńska's table) - you choose the tiers and diameters, and the system suggests the number of portions. We improved daily report reconciliation, and orders with delivery now show a car icon with information on where and for what time.

  • A cake portion calculator in the configurator - you choose the diameter and number of tiers and get a suggested number of portions (calculations by Marta Mężyńska, @nocnepieczeniecafe)
  • Daily report: the discrepancy is calculated correctly - a surplus shown in green, a shortfall in red (the card terminal is no longer mistakenly included in the cash reconciliation)
  • Orders with delivery: a car icon next to the pickup date, and on hover/tap - the delivery address and time
  • Email reminders about the trial period ending (7 days and 1 day before)
  • Mobile view fixes in daily reports (the date no longer goes off screen)

v2.5.1New feature

Invoice price scanner - ingredient prices straight from a photo

You get an invoice from the wholesaler and do not feel like retyping the prices line by line? Now you take a photo of the invoice (or upload a PDF), and BakePilot reads the line items and suggests which ingredients have gone up or down in price. You just check and approve - prices in the ingredient database and recipe costs update by themselves. A new feature in the Ingredients module, available in the Mistrzowski (Master) plan.

  • A new “Invoice price scanner” in the Ingredients module - take a photo of the invoice with your phone camera or upload a file (photo/PDF)
  • The app reads the line items from the invoice: name, quantity and price after discounts
  • A line-by-line preview of the changes - you see the old and the new price before anything changes
  • You decide: approve, correct or skip each item - nothing happens automatically
  • An item not in the database yet? Link it to an existing ingredient or add a new one with one click
  • After approval, ingredient prices and the costs of the recipes that use them recalculate by themselves
  • Your invoice stays with you - we do not store photos or files after reading them

v2.5.0New feature

Cake configurator, PLU numbers, Kanban for production and more

A big release with the everyday work of a pastry shop in mind. You configure a cake exactly the way you sell it (your own option groups, conditions depending on the cake type, tray portions), you can give products your own PLU numbers, and production staff see on the Kanban board exactly what to make and for whom. On top of that: cloning recipes and checking delivery times.

  • Your own option groups for cakes - any names (Jam, Filling layer, Decoration, Extras...) appear in the order wizard
  • Conditions depending on the cake type: a group or option visible only for selected types (e.g. only for chocolate)
  • Single or multiple choice with a limit (e.g. “jams - max 2”), groups that must be filled in
  • You set the weight per person when building the cake (e.g. 150 or 100 g) - the weight recalculates by itself
  • A new “Cakes” tab in the menu - cake types, shapes, weight per person, option groups, conditions and prices in one place
  • Your own product numbers (PLU/SKU) - you enter your number just like on the cash register, with gaps and reservations; empty = number assigned automatically
  • Kanban for production - every task shows what was ordered (quantity × product), and a click shows the full details (e.g. the cake configuration)
  • Variants under one item - e.g. Eclair (cream/custard, mini), Cream horn, Dessert in many flavors
  • Products sold by weight are ordered by portion - whole tray / half / square / piece or by weight; the wholesale discount is calculated from the chosen portion, and the profit is shown correctly
  • Clone a recipe with one click - a copy with ingredients and costs (ideal for variants and seasonal products)
  • Delivery time check - the system warns you when another order has a delivery at the same time (±15 min), so you can manage to handle both

v2.4.9Improvement

Recipe card - a wider view, quick editing and navigation

We improved working with recipes. The view now spans the full width of the screen (ingredients next to the cost summary and price list), each ingredient shows its base weight, and you can correct an ingredient's price with one click without leaving the recipe. You can move between recipes with the arrows or a swipe - handy when checking many items at once.

  • A wider, two-column layout of the recipe card - ingredients next to costs and the price list (responsive on the phone)
  • Each ingredient shows its base weight, e.g. “0.25 pkg × 1 kg” or “6 pcs × 60 g”
  • Clicking an ingredient opens a quick price change window - without going to the ingredient database
  • Moving between recipes with the ← → arrows (keyboard) or a finger swipe (phone), with an item counter

v2.4.8New feature

Importing ingredients from Excel - multiple suppliers, average price

Do you have an ingredient price list in Excel where you buy the same product from several suppliers? Now you can upload it with one click. BakePilot will recognize that rows with the same custom name are one ingredient with many sources (e.g. mascarpone from Mlekovita, Piątnica and Auricchio) and calculate the average price per kilogram - the same one that feeds the recipe cost calculation. A reliable way to start with your whole purchasing database.

  • Importing ingredients from an Excel file (XLSX) on the Ingredients page - the “Import Excel” button
  • Several rows with the same custom name = one ingredient with many sources (suppliers)
  • An automatic average price per kg from all sources - it feeds the recipe cost calculation
  • Recognized columns: name, supplier, brand, EAN, unit, package weight, net price, VAT
  • VAT accepted as a multiplier (1.05 = 5%) or a percentage
  • A preview before importing: how many ingredients, how many with multiple sources - plus manual column matching
  • An option to overwrite on a repeat import after updating the price list

v2.4.7New feature

Importing daily reports from Excel

Do you have your takings history in an Excel sheet? Now you can move it to BakePilot with one click, without retyping it day by day. You upload the file with your sales register, and the app recognizes the columns by itself, adds the reports and calculates the balance, average basket and discrepancies. Great for getting started - you immediately have month-to-month and year-to-year comparisons.

  • Importing daily reports from an Excel file (XLSX) on the Daily reports page
  • The app recognizes the columns by itself: date, register takings, card terminal, number of customers, cash box and amounts taken out
  • Different column names? In the preview step you match them manually to BakePilot fields - a ready-made file template is available for download
  • You can upload many years at once - each sheet (e.g. 2025 and 2026) is read separately
  • Days without sales and dates already saved are skipped automatically - you can upload the same file again without duplicates
  • The “register takings already include the card terminal” option - when the daily report is the whole day's takings, cash and card are not counted twice
  • The day balance, average basket and discrepancy are calculated automatically after the import
  • We fixed the cash register discrepancy calculation - card payments (terminal) are no longer included in the cash reconciliation

v2.4.6Fix

Registration also for VAT-exempt businesses

Many small pastry shops and bakeries use the Polish VAT exemption and are not listed in the register of VAT taxpayers - which meant they could not create an account with their NIP (Polish tax ID). We have fixed this. If your business is not in the register, you can complete registration by entering your details manually, and we will activate the account after a short verification (usually within 24 hours).

  • Registration with a NIP also works for VAT-exempt businesses (not in the register of VAT taxpayers)
  • When we cannot fetch the details automatically, you enter the business name and address manually
  • Accounts outside the VAT register are activated after a short verification - usually within 24 hours
  • Businesses listed in the VAT register sign up as before, with details filled in automatically

v2.4.5Improvement

A website accessible to everyone - WCAG 2.2 AA compliance

We rebuilt bakepilot.pl for digital accessibility in line with the WCAG 2.2 AA standard. The website is now more convenient for people who use a keyboard or screen readers and for those who prefer reduced motion. It also means compliance with the European Accessibility Act.

  • Full keyboard support - a visible highlight of the active element and a “Skip to content” shortcut
  • Better text contrast and greater readability across the whole website
  • Dialogs, menus and the search box read correctly by screen readers
  • Forms with field autofill and clear messages after submission
  • Respect for the system “reduce motion” setting

v2.4.3New feature

The “Guides for pastry chefs and bakers” blog + Partners + SEO

A big update to bakepilot.pl. We launched a blog with reliable guides for pastry chefs and bakers (four categories: Market, Commodity prices, Sanepid, Guides & tips), added a Partners section to the homepage and tidied up the links between the documentation and the articles. Every article has footnotes to sources, real stock photos and a “How to handle it in BakePilot” section with links to the documentation.

  • A new blog with 9 articles to start (butter prices, fruit prices, the first Sanepid inspection (the Polish sanitary inspection), registering ice cream production, registering a vehicle, 10 tricks to cut raw material waste, how to set prices in a pastry shop, the pastry market in 2026, craft versus chain stores)
  • Four blog categories: Market, Commodity prices, Sanepid, Guides & tips - available in the menu and on the homepage
  • A carousel of the latest guides on the homepage (with a “Read more” card)
  • Every article with a “Sources and footnotes” section, an estimated reading time and real photos
  • A new “Our partners” section - PyziPyzi, KamikStudio, Stowarzyszenie Rzemieślnik (a craft association), Receptury.net (Aleksander Pitura's program for balancing ice cream recipes)
  • Related articles for every topic in the Documentation center (3-5 suggestions depending on the context)
  • Fixed broken links in the documentation
  • Every article with a practical “How to handle it in BakePilot” section with links to the app documentation

v2.4.2Documentation

The Documentation center expanded with 11 modules + new icons

We greatly expanded the Documentation center - now every BakePilot module has its own section with a description, usage scenarios and tips. We added 11 new categories: Recipes, Quotes, Production Kanban, Deliveries, Warehouse, Reports, Purchasing, Analytics, Notes, Affiliate program, Multi-currency. On top of that, updated app icons with the full BakePilot logo.

  • New documentation categories: Recipes, Quotes, Kanban, Deliveries, Warehouse, Reports, Purchasing, Analytics, Notes, Affiliate program, Multi-currency
  • For every module: a description, usage scenarios, practical tips
  • Content verified against how the app actually behaves
  • New app icons - the full BakePilot logo on a white background
  • Security: Next.js updated to version 16.2.4 (security patches)

v2.4.1Improvement

Refreshed BakePilot icons and small documentation fixes

We replaced the app icons with the full BakePilot logo on a white background - now they look neat on every browser tab and in bookmarks. In addition, in the Documentation center we fixed the search box (the magnifying glass no longer slips out of place) and improved the readability of the category cards.

  • A new browser icon (favicon) - the full BakePilot logo on a white rounded background
  • A better search box in the documentation - the magnifying glass icon and the search field in the right places
  • More readable category cards in the Documentation center - the icon and text have proper spacing

v2.4.0New feature

Cake configurator + variants = one system (custom cake)

We combined the cake configurator (custom orders) with product variants. A product now has a type: standard (sizes/boxes) or custom (configurator). The configurator gained a “per portion” mode - you can price large cakes per portion, not just per kg. Plus: every pastry chef can now choose whether to price a cake by the kg, by the portion, or let the customer choose.

  • A product can now be of the “standard” type (variants) or the “custom” type (configurator) - a clear distinction
  • The cake configurator has a new pricing mode: per portion (in addition to the existing per kg)
  • For large cakes (weddings, 18th birthdays) you can charge 60 portions × 22 PLN = 1,320 PLN instead of converting to kg
  • The “both modes” option - the pastry chef chooses at the time of the order whether to price by the kg or by the portion
  • Automatic conversion: 25 portions ≈ 5 kg (at 5 portions/kg) - for scaling sponge and cream prices
  • When you add a “custom” product to an order, the configurator opens automatically (instead of variant selection)
  • Existing products stay of the “standard” type - zero changes to your work
  • A separate database for dev.bakepilot.pl - safer updates, no surprises in production

v2.3.0New feature

Product variants, help sections, sales analytics

A big batch of changes: product variants (sizes, boxes, price per portion), help sections under the header of each module with a link to the documentation, and a full sales analytics setup (Google Analytics 4, Google Ads conversion tracking). Do you sell a cake in several sizes? A 22 cm and a 26 cm cheesecake at a fixed price? Cakes over 40 portions priced per portion? Now it all works in a few clicks.

  • Product variants: one product, many sizes (10 / 15 / 20 portions, box of 6 / 12 / 24 pcs)
  • Two variant pricing modes: a fixed price OR price per portion × the chosen number of portions
  • Price suggestions: a percentage markup on the recipe cost AND the average price per portion (both at once)
  • Each variant can have its own recipes with a scaling multiplier (1.0 for 10 portions, 1.5 for 15 portions, etc.)
  • A variant selection window when adding to an order - skipped automatically if the product has only 1 variant
  • The item name on the invoice and in KSeF (Poland's National e-Invoicing System) includes the variant automatically (e.g. “Strawberry cake - 15-18 portions”)
  • Existing products automatically received a default “Standard” variant - no changes to your work
  • Help sections under the header of modules (Calculator, Products, Orders) - an explanation of what is what + a link to the documentation
  • A distinction between a full recipe (= the final product) and a sub-recipe (e.g. light sponge, strawberry cream used in many products)
  • Google Ads and Google Analytics 4 conversion tracking - we know how many sign-ups came from ads
  • Exporting the customer list to Google Customer Match / Meta Audience (retention marketing)
  • Dedicated landing pages: /free-trial, /about, /contact - faster onboarding
  • Editing orders in the “In production” and “Ready” statuses - with a warning (customers regularly call with a correction during production, e.g. a change of decoration)
  • KSeF: an alert before the certificate expires, downloading UPO (official receipt confirmations) in bulk, syncing purchase invoices from KSeF

v2.2.1Fix

An improved recipe calculator and attachments in support tickets

We improved recipe creation and the cost calculator. Now, after you save a recipe, the costs are recalculated automatically - no need to click Recalculate. Ingredients counted by the piece (e.g. eggs) have two linked fields: pieces and grams. In support tickets you can now paste screenshots and add photos.

  • Automatic cost recalculation after saving a recipe - no need to click Recalculate
  • Two linked fields in the recipe: pieces and grams - enter 3 eggs, and the system converts it to 180 g
  • Added the missing “Portions per batch” field to the recipe form
  • A clearer description of overhead: the system shows the global markup % and lets you add an individual one per recipe
  • Clicking an ingredient on the list opens editing (instead of going to the details)
  • “Base weight” renamed to “Package weight”, with a description of what to enter
  • Fixed tray weight on the product page + a link to edit the recipe
  • Food cost per kg visible in the recipe price lists
  • Photos and screenshots in support tickets - paste with Ctrl+V or add a file with the paperclip
  • The ability to delete ingredients from the database (with protection against deleting one used in a recipe)

v2.2.0New feature

A new feature matrix and more in the Podstawowy plan

We rebuilt the plan comparison from scratch. Now it is easier to see what you get in each plan. The Podstawowy (Starter) plan has been strengthened - we added the PDF menu, allergens, the order Kanban, ingredients and notes. The warehouse has been split into basic (Profesjonalny (Professional)) and advanced (Mistrzowski (Master)). Quotes are now available from the Profesjonalny plan up.

  • 47 items in 16 categories instead of 37 in 7 - easier to compare plans
  • Podstawowy plan: + PDF menu, + allergens, + order Kanban, + ingredients, + notes, + export/import
  • The warehouse split: stock levels and stock usage from Profesjonalny, expiry dates and stocktaking from Mistrzowski
  • A 3-level Kanban: orders (Podstawowy), tasks (Profesjonalny), production list (Mistrzowski)
  • Price quotes available from the Profesjonalny plan up (previously: Mistrzowski)
  • Analytics available from the Profesjonalny plan up (previously: Mistrzowski)
  • KSeF (Poland's National e-Invoicing System) marked as available only for the PLN currency

v2.1.2Improvement

Error monitoring, notifications and faster loading

Automatic error monitoring - if something breaks, our team finds out immediately. Notifications after saving data (customer, product, ingredient, recipe). Faster loading of the product page. Improved empty lists with a quick add button.

  • Automatic error monitoring - a faster reaction from our team
  • A notification after saving a customer, product, ingredient or recipe
  • The product page loads faster (fewer database queries)
  • Empty customer, ingredient and report lists have an Add button
  • Activity tracking - we know which features are the most popular

v2.1.1New feature

Selling in currencies other than the Polish zloty (EUR, USD and more)

From now on you can run your pastry shop in any currency - not just Polish zloty. Just choose the currency in settings, and all prices, orders and invoices switch to the chosen currency. For pastry shops in Germany we added German VAT rates (7% and 19%).

  • 11 currencies to choose from: PLN, EUR, USD, GBP, CZK, CHF, SEK, NOK, DKK, HUF, RON
  • The currency is saved on orders and invoices - changing the settings does not change historical documents
  • German VAT rates of 7% (takeaway baked goods) and 19% (standard) for pastry shops using EUR
  • VAT rates matched to the currency - Polish rates for PLN, German rates for EUR
  • Choosing the currency when creating an account and later in the organization settings

v2.1.0New feature

Documentation, registration without a business, KSeF integration

A help center with guides and tutorials. The option to create an account without a registered business. Full support for KSeF (Poland's National e-Invoicing System) - sending invoices, checking their status and a QR code.

  • The option to register without a NIP (Polish tax ID) - for people who are just starting out
  • Sending invoices to KSeF with an automatic status and a QR code
  • Buyer details remembered automatically when issuing invoices
  • A public changelog - this page

v2.0.4New feature
