Excel worked... for the first 6 months

Every pastry shop and bakery we know has gone through the same stage: a few spreadsheets with recipes, a notebook with orders, a calculator next to the scales. It worked - until things started going missing. PyziPyzi had exactly the same problem in 2018. BakePilot grew out of that problem.

Why isn't Excel enough for a pastry shop or bakery?

Excel works while you have 5-10 products and one customer. At 50+ items and dozens of orders a week, recipes drift apart, the margin is a guess, HACCP is left for later, and KSeF invoices need separate invoicing software. BakePilot brings it all together in one place, mobile-first.

How long does it take to move from Excel to BakePilot?

Usually 1-2 days. You import products, customers and ingredients with ready-made CSV templates. You can import recipes from Excel (from the Profesjonalny (Professional) plan) or enter them by hand - most pastry shops want to refresh their recipes along the way anyway. The 20-day trial gives you plenty of time for a safe move.

Will BakePilot also replace Subiekt?

For most craft pastry shops and bakeries in Poland, yes. BakePilot issues KSeF FA(3) invoices (Mistrzowski (Master) plan) and manages customers, inventory and reports. Subiekt is popular Polish sales and invoicing software. BakePilot doesn't do full accounting and doesn't export invoices to Subiekt - your accounting office still does the bookkeeping.

What about KSeF invoices from 2026?

BakePilot issues invoices in the FA(3) format of KSeF, Poland's National e-Invoicing System. You send a PLN invoice to KSeF with one button, and your invoices have Polish and German VAT rates. No separate invoicing tool - KSeF works inside BakePilot, on the Mistrzowski plan.

How much does BakePilot cost compared with Excel + Subiekt + Fakturownia?

The BakePilot Podstawowy (Starter) plan is 98 PLN net per month (orders, products, customers). Recipes and inventory come with the Profesjonalny plan (189 PLN), and HACCP and KSeF with Mistrzowski (319 PLN). Prices are net, plus 23% VAT. Excel is "free", but in Poland Subiekt 123 costs about 150 PLN a month, Fakturownia (an invoicing service) 50-100 PLN a month, and a HACCP tool is extra. In practice you replace 3-4 tools with one, for less and without fiddling with syncing.

What if my pastry shop or bakery is small?

The Podstawowy plan (98 PLN/month) covers 2 users and the starter modules: orders, products, customers, calendar, Kanban and notes. Profesjonalny (189 PLN, 5 users) adds recipes, inventory, reports and analytics, and Mistrzowski (319 PLN, unlimited users) adds standing orders, KSeF invoices, HACCP and time tracking. Employee roles are in every plan.
