Deleting your account and data
This is an English translation provided for convenience. The Polish version is the legally binding one and prevails in case of any discrepancy. Read the Polish version: https://bakepilot.pl/usuwanie-konta
This page describes how to delete an account in the BakePilot application (controller: KamikStudio Patryk Kowalski, NIP (Polish tax identification number) 6182187584) and which data is deleted, and which is retained and for how long.
Before deletion: order a full data export
Deletion cannot be undone. If you want to keep a copy of your data, first go to Settings, the “Data export” section, and click “Order a full data export” (an option for the account owner). We prepare the export overnight, from 1:00 (Polish time), and send a link to a ZIP archive (CSV files, a combined XLSX workbook and KSeF invoices in XML; KSeF is Poland's National e-Invoicing System) to your e-mail address. The link is valid for 24 hours. Delete the account only after downloading the file - deleting the account also erases the prepared export.
Method 1 (recommended): deletion in the application
- Sign in to the BakePilot application.
- Go to Settings and find the “Delete account and data” section.
- Click “Delete account permanently” and confirm. The account together with the entire organization and related data is deleted immediately.
This option is available to the account owner (administrator). If there are more users in the organization, delete their accounts first.
Method 2: request by e-mail
- Send a message from the e-mail address linked to the account to kontakt@bakepilot.pl with the subject “Account deletion”, giving the company name and NIP.
- After verifying your identity, we will delete the account and related data within 30 days.
What data is deleted
All data linked to the account is deleted, including:
- account and profile data (name and surname, e-mail, phone),
- data of the organization (pastry shop/bakery) and its settings,
- operational data: orders, customers, products, ingredients, recipes, offers, calendar, notes, inventory levels,
- invoices issued in the application and KSeF connection data,
- employee working time records (the Time tracking module),
- HACCP logs (temperature readings, documentation),
- device push notification tokens.
What data is retained and for how long
Deleting the account erases operational data (including invoices issued in the application, working time records and HACCP entries). If you are required by law to keep documents, download a full export before deleting the account - this is your obligation as a business: invoices until the limitation period for the tax liability expires (as a rule 5 years from the end of the year in which the tax payment deadline passed; invoices sent to KSeF are kept there for 10 years), employee working time records for 10 years from the end of the year in which their employment ended, and HACCP documentation for the period required for your business.
Deleted data may remain in database backups until they are overwritten, for no longer than 7 days; we do not restore data of deleted accounts from them.
After the account is deleted, KamikStudio may retain only:
- Registration and billing data (owner's name and surname, e-mail, phone, company name, NIP, address, contract dates, subscription and payment history) - until the limitation period for claims under the contract expires, counted from its termination: 3 years for claims related to business activity, 6 years in other cases, ending at the end of the calendar year (Article 118 of the Polish Civil Code, Kodeks cywilny). We do not retain the data entered into the application.
- Billing documents for the subscription (KamikStudio invoices for the BakePilot service) - until the limitation period for the tax liability expires (as a rule 5 years from the end of the year in which the tax payment deadline passed), regardless of the data in the application.
- Security logs - short term, then deleted.
If you do not delete the account and the trial period or subscription ends
The account switches to restricted mode: the application features are unavailable, but the owner can still open Settings, order a full data export or delete the account. From 2 November 2026, data remains in restricted mode for 6 months, after which we delete the account and its data. We give notice of this by e-mail 30 and 7 days in advance, and purchasing a subscription before that day stops the deletion. For accounts in restricted mode before 2 November 2026, the 6 months are counted from that day. You can delete the account yourself earlier or ask us to do so by e-mail.
Deleting part of your data without deleting the account
You can also ask for selected data to be deleted without closing the whole account - send a request to kontakt@bakepilot.pl. We fulfil the rights under the GDPR (Regulation (EU) 2016/679): access, rectification, erasure, restriction of processing.
You can find more about data processing in the Privacy Policy.
